Stanford is seeking a Wellness Program Specialist for the university employee wellness program. The wellness program specialist will work under general supervision and must possess and demonstrate a positive outlook on continuous process improvement efforts while maintaining a team-based and customer-focused mindset. The wellness program specialist will provide administrative and operational support of the educational offerings and act as the first point of contact and serve as a resource for disseminating program information. This position will support the overall success of the program deliveries through the processing of administrative and operational duties from the execution of (in person/virtual) class offerings, platform maintenance and support, communications, workgroup presentations, financial transactions, inquiry resolutions and serving as a point-of-contact in the absence of the program manager. It is critical that this position exhibit the abilities to practice sound judgment and decision-making, effective written & oral communication, strong attention to detail and respectful relationship management. This position must also exhibit a strong desire to continuously learn new and unfamiliar business topics, policies and procedures as they relate to the wellness program – the ability to translate this information into operational successes will be critical.

In this role, you will:
- Serve as a first line resource on wellness offerings, effectively communicate policies, and explain processes and procedures and make referrals to appropriate programs or resources as needed. Respond to inquiries and determine and take appropriate action by applying information, tools, processes, and subject matter expertise. Provide information or solutions via web-based tools that can direct employees to self-service.
- Participate in the promotion and execution, and maintenance of programs, systems, and procedures necessary to achieve the wellness program goals and objectives.
- Represent the program at workgroup/department meetings and present program updates in person, virtually or via recorded sessions. Execute outreach tabling and provide program information.
- Resolve basic issues as appropriate. Refer other issues to the appropriate wellness manager or supervisor for resolution. Collaborate with peers, supervisors, program managers, or vendors to resolve more complex issues.
- Provide general administrative support for wellness staff completing day-to-day tactual tasks including, but not limited to, ordering and maintaining equipment and supplies.
- Support and participate in the planning and implementation of program initiatives, technology, events, workgroup requests and outreach efforts.
- Develop recommendations and collaborate with others to resolve programmatic issues within and across functional units.
- May prepare correspondence, documents, and reports and disseminate information through presentations, orientations and department meetings or distribute via technology systems.
- Process financial transactions and provide quarterly reporting.
- May train and supervise other staff, volunteers, and temporary workers.
- Support the overall success of the employee wellness program
- Perform other duties, as assigned.
To be successful in this role, you will bring:
Education & Experience:
High school diploma and four years of administrative experience, or combination of education and relevant experience.
Knowledge, Skills and Abilities:

- Experience working with a wellness program or organization.
- Demonstrated experience in public speaking and presentation.
- Bilingual desired, English/Spanish speaking.
- Demonstrated experience in maintaining confidentiality and effectively handling highly sensitive and personal information with sound judgment, tact and discretion.
- Ability to interact with diverse constituencies.
- Basic analysis and problem-solving skills.
- Experience with Google drive and Google docs integration, MS Office products, database applications and case management systems.
- Understanding of financial transactions.
- General understanding and application of a growth mindset.
- Demonstrated experience working independently and as part of a team.
- Strong knowledge of industry standards and/or federal, state, and local regulatory requirements.
The expected pay range for this position is $31.73 to $40.38 per hour.
