In this role, you will research issues, analyze time/data and develop recommendations to resolve issues and assess improvement needs for current payroll practices. You will take appropriate measures to mitigate risks of non-compliance alongside the Employee Services Manager. It will be required to maintain knowledge of the payroll processing system, changes in compliance laws and company policies to ensure compliance with company’s wages and policies, payroll principles, IRS and multi-state law withholding regulations.
This position will be primarily responsible for:
- Provide support for spontaneous requests from Accounting, HR, Production and other areas in their maintenance and use of time tracking to include troubleshooting, researching, and reconciling data.
- Execute and evaluate miscellaneous company-wide system audits on a routine basis and review employee and timecard data to support compliance and pay integrity, as well as support employee and time record data integration.
- Maintain online structure for time tracking: time sheets, group schedules, group/employee security, comments lists, function access profiles, data access profiles, pay codes, pay rules, holiday credit rules, work rules, employee groups and labor level transfer sets and people record.
- Conduct Time tracking Training; update training manual as necessary.
- Partner with Labor/Employee Relations Partners to enforce Time policy and procedures with Union and Non-Union Partners.
- Partner with IT to manager clock infrastructure: firmware upgrades, replacements, troubleshooting.
- Document & test Time Tracking-Payroll policy / procedures.
- Backup miscellaneous Employee Services, Scheduling functions, Payroll processing, ad hoc reporting.
- Oversee and supervise the Time Coordinators Team for the Harvest Season.
- Work with miscellaneous auditors as needed.
- Other duties assigned.
Minimum Qualifications:
- BA/BS Degree in Accounting/Business Administration (or currently pursuing) or must be certified with CPP or PHR
- 1-3 years’ direct experience managing day-to-day tasks in a timekeeping system such as Kronos, Workday, UKG Dimensions, or similar application.
- Understanding of labor laws as it pertains to: California Time and labor rules, meal and rest breaks, overtime, etc.
- Demonstrated technical ability to explore/understand/apply timekeeping software changes that meet company or regulatory needs.
- Intermediate to Advanced Excel skills (VLOOKUP, pivot tables, etc.).
- Ability to partner with varying levels of management to enforce and communicate time and labor policies in a Union and Non-Union environment.
- Advanced analytical organizational creative problem solving and time management skills include ability to manage multiple priorities concurrently and meet established deadlines.
- Strong problem-solving, verbal, written, and interpersonal skills; strong customer service values.
- Able to work independently and work with all levels of management. Must have a high degree of organization and prioritization skills and be detailed oriented.
- Must have strong computer skills to include but not limited to MS Excel, Word, PowerPoint, and other computer driven software.
Physical Requirements:
Rare lifting, carrying, pushing, and/or pulling; rare stooping, kneeling, crouching, and/or crawling; and frequent fine finger dexterity. Generally, the job requires the following percentages of time committed to physical activity: 75% or more sitting, 25% or less walking, and 25% or less standing. The job is performed under rare temperature variations and in an office environment. Unrestricted visual and audio abilities are required for the safety of all employees. The ability to lift up to 25 lbs. is required.
