Position Overview

As an Administrative Business Partner (Office Administrator), you are at the heart of People team's business operations, activities and the person that keeps the team moving forward. You believe first impressions go a long way and prioritize the employee experience. This role is a positive and reliable resource for managers and employees and help them stay focused on their work by resolving operational and administrative issues before they arise. You move quickly with the changing environment and are up to date with the latest Stanley processes, tools, and resources. You also use that knowledge to strategically support the team's projects. In addition to being organized and analytical, you possess the strong business judgment and interpersonal skills needed to interact with a variety of employees and across job functions.

This role leads by example by living our values and working behind the scenes to the employee experience globally. This individual is skilled at leading and managing a variety of simultaneous projects, which requires the ability to communicate effectively with all levels of the organization.

This is a 6-month temporary contract in office 4 days per week.

Responsibilities

Employee Experience:

Employee Experience Is a Priority At Stanley. A Key Component Of This Role Is To Ensure Our Shared Spaces Are Set Up In a Way For Our Employees To Do Their Best Work, Collaborate With Team Members, Grow And Develop, Celebrate Accomplishments, And Build Connection. Responsibilities Include:

  • Be an effective resource to support managers and employees globally.
  • Maintain shared spaces to ensure usability and engagement.
  • Provide reception support for guests, job applicants, employees and customers by leveraging technology and our Global Support Center.
  • Build efficiency and effectiveness into existing operations and define new operational strategies.
  • Provide meeting/event planning and logistic support (e.g. all hands, team events, training, energizers).
  • Maintain product and swag inventories to support employee events, new hires, and more.
  • Provide team budget support and manage operating expenses.
  • Maintain relationships with key stakeholders, often with a high level of confidentiality.
  • Lead employee communications by region and/or location (e.g. team email inboxes, updates, etc.).
  • Coordinate space management in partnership with shared services teams.
  • Support employee meetings, events, team building, training workshops, etc.
  • Order and manager office/kitchen supplies.
  • Coordinate facilities issues with building management, vendors and services.
  • Manage employee and/or team catering orders as needed.

Administrative Support:

  • Provide proactive administrative support to the People Team (e.g. projects, resource development).
  • Manage priorities to organize and optimize People Team resources.
  • Provide project management support (e.g. project timelines and deliverables).
  • Coordinate team meetings and action item follow up.
  • Assist in preparation & organization of presentations, meetings and employee events.
  • Coordinate employee experience feedback channels.

Qualifications

  • Bachelor's degree or equivalent practical experience.
  • 3 years of direct executive support, administrative operations management, non-technical project management, or corporate event planning experience.

  • Strong interpersonal and communication skills, with the ability to take initiative and build/maintain meaningful, productive relationships with individuals and groups at all organization levels.
  • Dependable and able to demonstrate a high degree of confidentiality, integrity and a sense of urgency with highly sensitive issues.
  • Be highly proactive and take ownership to anticipate needs and able to manage-up and downstream to ensure deliverables are met timely and accurately.
  • Consistently and positively contribute in a high-paced, changing work environment prioritizing multiple functions and tasks, and managing time efficiently.
  • Ensure all relevant or useful information is shared to achieve the best overall outcome.
  • Demonstrates accuracy and attention to detail of own work, update stakeholders and ensure standards for accuracy and details.
  • Solid skills and knowledge of Microsoft Office (PowerPoint, Excel, Word, Teams) and other business specific tools (e.g. expense management, HRMS, etc.) and provide training to others as needed.
  • Experience in end-to-end project management with consistent track record to meet deadlines
  • Adapt to changing business needs and shift while remaining calm and composed.

The base pay range for this position is for a successful candidate within the state listed. The successful candidate’s actual pay will be based on multiple factors such as work location, job-related knowledge, skills, qualifications, and experience.

Salary Range

$50—$55 USD
