What are the responsibilities and job description for the Full Charge Bookkeeper position at Stanwood Camano Food Bank Services?
This role will work with the Executive Director and the Board of Directors to ensure high levels of organizational effectiveness, financial systems management, communication, ethics, and safety. A successful candidate should have 5 years of experience with a variety of office software (QuickBooks, CRM, email tools, spreadsheets, and databases) and office equipment and be able to accurately handle administrative duties. Ultimately, the candidate should be able to ensure the smooth running of our financial systems, adherence to company policy and GAAP standards, and improve standard operating procedures.
Essential Duties and Responsibilities
- Oversee all bookkeeping and administrative duties, including but not limited to accounts receiveable, accounts payable, tax filings, and purchase orders.
- Manage journal entries, reconciliations, general ledger, and prepare financial statements for Board Review.
- Manage all payroll processing, all state quarterly reporting, and generate monthly reports and financial documents to meet the needs of the organization and its stakeholders.
- Assist with communicating real-time expenses to Program Managers.
- Manage financials as they pertain to grants including expenditures, reporting, and reimbursements.
- Assist with donor and fundraising record keeping.
- Make bank deposits, assist with thrift store accounting.
- Assist with budgeting and forecasting.
- Assist with complex accounting needs, as required. Propose and implement modifications (or redesigns) of the chart of accounts and classes as needed.
- Assist with the continual evaluation of systems, expenses, vendors, organizational policies; and modify them effectively.
- Work independently, and proactively alert the appropriate parties to upcoming needs, deadlines and matters of concern.
- Handles matters expeditiously, and follow-through on projects to successful completion, often with deadline pressures or with occasional disruptions.
Skills & Qualifications
- Bookkeeping: 4 years (Required)
- Proven experience as a Full Charge Bookkeeper or equivalent skill sets
- Experience with account management, receipt, and payment tracking
- Knowledge of office administrator responsibilities, systems, and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular) and Google applications
- Quickbooks Certified. Knowledge of nonprofit accounting preferred.
- Hands on experience with office machines
- Excellent time management skills and ability to multi-task and prioritize work.
- Extreme attention to detail and excellent problem-solving skills.
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements.

Working Conditions
- This position primarily involves working in a standard office environment, requiring prolonged sitting at a desk with frequent computer use, occasional standing or walking to access files or interact with colleagues, and minimal physical exertion; the workspace is typically well-lit, climate-controlled, and with moderate noise levels.
- High level of verbal and written communication.
- Primary schedule for this position is Monday thru Friday.
- Access to a vehicle in working condition is required, with valid driver’s license and insurance.
- Offer is conditional on passage of a pre-employment background check.
Stanwood-Camano Food Bank Services OverviewEstablished in 1984, Stanwood-Camano Food Bank Services’ (SCFBS) mission is to provide resources and connections to alleviate hunger and meet the basic needs of individuals and families in our community. With the help of our generous donors, we provide food assistance and life essentials to over two thousand community members each week, up 70% since 2023. SCFBS also operates a weekly food distribution to seniors, a weekend food program for Stanwood Camano School District children, a Warm Coats for Kids program each Fall, and a Holiday House program providing holiday gifts to local youth each December. This translates into essential assistance to children, seniors, the working poor, single adults, the unhoused, and families of all backgrounds.To support our mission, SCFBS also operates the Stanwood-Camano Thrift Store whose proceeds directly benefit the organization.
