What are the responsibilities and job description for the Fiscal Specialist - Scioto County position at STAR Community Justice Center?
Fiscal Specialist
DAILY DUTIES:
§ Monitor multiple mailboxes to collect invoices, Purchase Order Requests (PORs), Commissary Withdrawal Requests (CWRs), and other documentation.
§ Match invoices with corresponding PORs in preparation for payment.
§ Process grant-related invoices and submit them to the courthouse for payment.
§ Review PORs to verify funding availability and update corresponding tracking spreadsheets.
§ Review CWRs to verify funding availability and update corresponding tracking spreadsheets.
§ Communicate approval or denial of PORs to requestors.
§ Handle all aspects of travel request processing.
§ Process commissary invoices for timely payment.
§ Set up new vendors with the Scioto County Courthouse
§ Coordinate with the Scioto County Auditor’s Office as necessary.
§ Maintain organized and up-to-date accounts receivable and payable files.
§ Conduct occasional shopping trips to local vendors for business-related purchases.
§ Regularly monitor email to ensure timely responses and communications.
§ Oversee the Behavioral Health Drug Reimbursement Program.
§ Complete special projects as assigned by the Fiscal Manager.
WEEKLY DUTIES:
§ Monitor and manage facility contracts, Memoranda of Understanding (MOUs), and Memoranda of Agreement (MOAs).
§ Coordinate with the Facility Governing Board (FGB) Chairperson to obtain required signatures.
§ Make deliveries to the Scioto County Courthouse as needed.
§ Continue all daily responsibilities, as the position requires consistent attention to these areas.
MONTHLY DUTIES:
§ Prepare materials for and attend monthly budget meetings.
§ Prepare for and participate in monthly Business Office meetings.
QUARTERLY DUTIES:
§ Assist with American Correctional Association (ACA) file maintenance and updates as needed.
§ Work with the Fiscal Manager to prepare and conduct mock audits.
EXTRANEOUS DUTIES:
§ Oversee the Resident Account Specialist position on an as-needed basis.
