We are seeking an experienced Dental Office Administrator to join our community of collaborative, high-quality clinical, business and operations professionals.
Schedule: Monday - Thursday 7:45 am - 5:00 pm and
Every other Friday 8:00 am - 12 noon

Responsibilities
Patient Scheduling and Management
- Scheduling Appointments: Booking patient appointments based on the availability of the dentist and the patient’s preference.
- Managing Appointments: Confirming, rescheduling, and canceling appointments as necessary.
- Appointment Reminders: Sending reminders (via phone, email, or text) to ensure patients show up for their appointments.
- Managing Cancellations: Handling cancellations and rescheduling appointments in a timely manner.
Patient Check-in and Check-out
- Greeting Patients: Welcoming patients as they arrive, creating a positive first impression.
- Check-in Process: Collecting patient information, updating records, and verifying insurance information.
- Check-out Process: Processing payments, scheduling follow-up appointments, and ensuring patients are aware of any additional instructions or treatments.
Insurance Verification and Billing
- Insurance Verification: Confirming patient insurance coverage and determining eligibility for treatments.
- Billing: Creating and submitting claims to insurance companies, ensuring all necessary documentation is provided for payment.
- Patient Billing: Managing patient statements, processing payments (credit cards, cash, checks), and addressing any billing inquiries.
- Payment Options: Ensuring there are firm financials and giving patient third-party financial options.
Patient Records Management
- Updating Patient Information: Ensuring that all patient records are up-to-date, including personal information, medical history, and insurance details.
- Confidentiality: Maintaining confidentiality of patient records and complying with HIPAA regulations.
Customer Service and Communication
- Handling Inquiries: Responding to patient inquiries over the phone, via email, or in person, providing helpful and accurate information.
- Resolving Issues: Addressing patient concerns or complaints in a professional manner, ensuring patient satisfaction.
- Follow-Up: Contacting patients to follow up on treatment, appointments, or payment issues.
Administrative Support
- Office Organization: Keeping the front office organized, including maintaining the office’s physical and digital filing systems.
- Managing Correspondence: Handling incoming and outgoing mail, emails, and faxes related to patient communication or office matters.
- Inventory Management: Managing office supplies and ensuring the practice has the necessary materials for day-to-day operations.
Compliance and Record Keeping
- HIPAA Compliance: Ensuring all office practices comply with HIPAA regulations regarding patient confidentiality and privacy.
- Record Keeping: Keeping accurate records of appointments, payments, patient interactions, and communications.
Coordination with Dental Staff
- Team Communication: Serving as a liaison between the front office and dental staff (e.g., dentists, hygienists) to ensure smooth patient flow and clear communication.
- Treatment Plan Coordination: Communicating treatment plans and procedures to patients, ensuring they are well-informed.
Marketing and Patient Retention
- Patient Education: Providing patients with educational materials about dental care and services offered by the practice.
- Marketing Support: Assisting with promotional activities and campaigns (such as social media posts or patient referral programs) to attract and retain patients.
Qualifications
- High school diploma
- 2 or more years dental front office experience required
- Computer proficiency and ability to learn new programs
- Exemplary customer service and interpersonal skills
- Positive attitude and professional demeanor
- Outstanding verbal and written communication skills
- Strong multi-tasking and organizational skills
- Ability to collaborate well with a team
