Job Summary

The Program Assistant’s responsibilities are to support the day-to-day operational needs of the New Hope Program Services staff and the New Hope Recovery Program clients. Ensure the welfare, safety and supervision of New Hope clients. Protect their privacy and confidentiality on a daily basis, file and secure client's confidential documentation. Conduct room inspections to make sure clients are keeping their rooms clean at all times and make sure that the client does not have any unauthorized contraband in their possession. Supervise client self-administration of their prescribed medications and make sure to stay in compliance with the DSHS rules. Conduct new client orientation.

Job Responsibilities

  • Ensure the welfare and safety: Supervise clients, protect client privacy and confidentiality, enforce program rules, transport clients and staff, plan and implement client activities, conduct building, and room inspections, assist clients, pick up medication, administer drug testing and report results to staff and distribute client mail. Document client progress in files and on the Service Point.
  • Serve as support for the New Hope Program and staff: Create new client files. File documents. Monitor, order and distribute supplies. Ensure that classrooms, testing room and New Hope public areas are clean and organized. Update and distribute New Hope roster to staff as needed. Issue program forms to client. Disseminate weekly update information on clients.
  • Conduct new client orientation: Provide program information to new clients, assist clients in completing forms, schedule new clients and ensure they obtain physical examination with 96 hours of admission. Assign new clients to counselors. Comply with Texas Department of State Health Services (DSHS) rules.
  • Supervise client self-administration of medication: Ensure that clients receive their medication as prescribed and on time, check on clients who fail to report, document and destroy medication in compliance with DSHS rules.
  • Work with other staff and agencies to ensure client recovery.
  • Teach Life skills to clients from prescribed curriculum as needed.
  • Box closed files and arranged for transportation to the warehouse to make room for current files.
  • Model appropriate character and behavior to clients.
  • Attend training and update essential certifications.
  • Assist with client activities, parties, etc. including the planning, purchasing, set-up, monitoring, and clean-up.

Other Job Responsibilities

  • Participate in Ministry and prayer activities, as appropriate.
  • Other duties as assigned.

Qualifications

Education, Skills & Experience: Requires an Associate’s Degree with 1 year of related work experience or an equivalent combination of education and experience. Valid Texas Driver’s License with acceptable driving record and current liability insurance. Ability to drive a 15-passenger van.

Good reading, writing and time management skills. Good judgment in dealing with confidential client and donor matters and setting priorities. Capable of handling multiple tasks, coordinating detailed work and issues that need immediate attention. Ability to communicate and work cooperatively with employees, managers, directors, clients, volunteers and outside organizations that interact with Star of Hope.

Be able to work respectfully, professionally and in a Christ-like manner with everyone, able to maintain required client/staff boundaries and possess a willingness to serve the Lord in a ministry that deals with homeless men, women and children.

Equipment Used: General Office Supplies (Calculator, Telephone, Stapler, etc.), Computer Equipment (Monitor, Keyboard, etc.), Copier/Fax/Printer, Cleaning Supplies, Microsoft Office, Excel, PowerPoint and Outlook. General Kitchen Equipment (oven, blender knives, etc.)

Work Environment: Normal business hours which includes weekends and evenings. Work schedule may be subject to change to meet the business needs of the mission. Participation in ministry activities is encouraged. Professional dress. Jeans with no holes/fraying may only be worn on Fridays and only as long as a Star of Hope shirt (T-shirt, polo-style or sweatshirt) is worn. Personal Protective Equipment (PPE) is required as needed for completion of tasks. Exposure to infectious diseases, poor hygiene, drug usage, verbal and physical abuse and other emergency situations relative to the homeless population is normal.

Relations with Others: Constant contact with immediate peers and clients. Frequent contact with immediate manager. Frequent use of electronic email and face to face discussions with individuals. Occasional contact with peers in other departments, managers in other departments, volunteers and other agencies. Occasional public speaking, telephone conversations, written letters, memos and faxing.

Physical Requirements: Light work lifting up to 10 pounds. Frequent sitting, standing, walking, hearing, and tasting/smelling. Occasional climbing, balancing, stooping kneeling, crouching crawling, reaching, pushing, pulling, lifting, use of fingers, handling, feeling, talking, repetitive motions and driving. Occasional close vision at 20 inches or less and distance vision at 20 feet or more. Frequent color vision, depth perception and night vision.

Max hrs. per day

Standing/2 hrs., Pushing/Pulling 2hrs., walking 2/hrs.

No Bending/Stooping, No Climbing Stairs/ Ladders.

May not lift or carry objects more than 10 lbs.

Restrictions are expected to last through 6/21/2024.
