Overview

Our Client Operations Department manages client-specific operational tasks across virtually every practice area within the agency, including Strategy, Investment, HR, Finance, Invoice Reconciliation, and Agency Administration & Compliance. We centralize and standardize fundamental work required across all pieces of business as well as bring tactical and detail-oriented work streams together to find smarter, faster ways of working. Responsibilities

What you’ll do:

The Tools & Systems Senior Associate supports the Supervisor and the broader Tools & Systems team. Your primary focus will be on the operational management of the media planning, buying and management systems that our teams use (Mediaocean OX, Prisma, MediaTools as well as various internal tools). In addition to this you’ll have the opportunity to continue to grow your career in media by working on project management, process improvements, helping to develop and share best practices and helping to enforce quality assurance across the agency via regular reporting and compliance workstreams.

Daily Tasks

  • Assist with system set-up and maintenance, ensuring data cleanliness and compliance across teams
  • Manage media system requests from internal users across the agency
    • Monitor these requests to ensure that they are being received and properly managed
    • Action on tickets or escalate to team leadership as needed
  • Offer administrative support, training and troubleshooting for all systems that our team supports
  • Execute regular audits and reporting checks to ensure process and data compliance across all systems that we manage
  • Assist with data pulls from various systems (MediaOcean, MediaTools, etc.)
  • Maintain system hierarchies, structure, and user security compliance for MediaTools, MediaOcean and our proprietary Operating System
  • Foster relationships with your counterparts across the agency to help ensure quality work and seamless communication
  • Assist Supervisor/Associate Director in implementation of projects and unique workstreams
  • Attend Agency system trainings and meetings
  • Work with outside resources to ensure that our system enhancement needs are being met and that enhancements from our vendors are being communicated to our teams
  • Create and update training documentation
  • Compile client-specific reporting (e.g. publisher spend, diversity reporting)
  • Participate in and/or lead team meetings
  • Join internal client status meetings (not client facing) and be prepared to speak to tasks and workstreams that you are responsible for
  • Mentor to the Associates and other more junior colleagues
What You’re Like

  • A strong communicator – able to write clearly, speak professionally, and translate data analysis into insights.
  • Excited by the idea of diving deep into data, including new technologies where benchmarks are just beginning to emerge.

Qualifications

  • 2 years of in operations, project management, or data analysis, preferably in a media agency or advertising agency
  • Proficiency in media industry tools (Mediaocean, Prisma, MediaTools etc)
  • The ability to rock the Microsoft Office suite, particularly PPT and XLS (where filtering, pivoting, and charts and graphs building are key)
  • Quantitative and analytical skills, yet willingness to embrace a role that requires a mix of art and science
  • Experience developing and presenting your thoughts and ideas
  • Flexible and able to adapt to change in a fast-paced and constantly changing environment
  • Brave voices who will suggest new ideas and challenge the status quo but can also help carry out the smart ideas of others
  • Someone who likes to thrive on a team yet can also meet tight deadlines on independent assignments
  • A team player who enjoys learning and is willing to lean into new opportunities

Compensation Range: $49,305 - $62,300 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
