Distribution Coordinator

Hours: Monday to Friday 8 a.m. to 12 p.m. (Flexibility with hours needed according to demand)

Starfish Project is an international social enterprise that is working to restore hope to women

escaping human trafficking and exploitation. Through our innovative gift company, we work

together as one team of staff, interns, and volunteers, creating sustainable employment, career

development opportunities, and holistic care for women who are starting a new life.

The Goshen, Indiana Distribution Center and its volunteers play a key role in this work by

distributing products to our customers. The Distribution Center in Goshen hosts up to 50

volunteers every week, who are passionate about supporting the work of Starfish Project.

Starfish Project also reaches thousands more each week through our online engagement with

customers on social media, live customer service chat, and email communications.

Position Overview:

Starfish Project is seeking a hands-on, systematic, and positive person to become our US Distribution Coordinator. This person will be responsible for training and managing a volunteer

team to make sure all orders are shipped out to customers within 48 hours of placing their

orders, ensuring they receive packages in a timely manner with maximum satisfaction. This

includes personally preparing orders, wholesale orders, sample packs, specialized gift

experiences, and operating our simple custom laser-engraving machine (with training).

This role has two key objectives:

1. Support sales growth for the purpose of furthering its mission, by ensuring the timely and

accurate fulfillment and shipping of customer orders.

2. To positively and efficiently manage and grow the team of volunteers at the Goshen

Distribution Center.

Key Tasks and Responsibilities:

- Coordinate, and execute the distribution of customer orders, ensuring accuracy in the

fulfillment of customer orders, as per the expectations given to them at the point of sale.

- Produce customized products using the engraving machine.

- Manage the volunteer team efficiently to fulfill all incoming orders within 48 hours of the

orders being placed.

- Work with the Customer Service Assistant to resolve any customer service queries, such

as receiving returns and sending replacement orders.

- Check that incoming inventory and quality matches the purchase orders, and

communicate necessary adjustments to the relevant team members.

- Collaborate with distribution teams in other Starfish Project locations to ensure the

efficient and timely receipt and shipping of products, packaging, and resources.

- Routinely upload inventory numbers to our online software to ensure accurate inventory

numbers are kept.

- Keep clear and accurate inventory numbers of boxes, packaging, and other shipping

supplies at the Distribution Center, making sure we have ample amounts of supplies on

hand to fulfill the order process.

- Liaise with USPS, UPS, and any other shipping or postage suppliers to ensure efficiency

and consistency in our order fulfillment chain.

- Recruit and train any new volunteers to support the work of the Distribution Center.

- Maintain accurate and up-to-date volunteer information.

- Cover for the Customer Service Assistant during absences.

- In collaboration with the Customer Service Assistant, maintain an orderly and effective

Distribution Center.

- Work with the Development Director in facilitating relationships with the local community

and network.

Training and Support Available:

- Ongoing one-on-one support from a supervisor, including weekly meetings.

- Support from the Customer Relations Assistant and other US team members during

busy periods and absences.

- A large, loyal team of volunteers.

- Full training on all relevant systems, software, and tools.

- Weekly team building and support meetings with the wider international business team.

- Weekly meetings with the wider regional team.

- Significant technical support and manpower are available through our partnership with

ViewRail, a company friendly to Starfish Project where our Distribution Center is located.

- Active support from US-based board members.

- Excellent interpersonal and verbal communication skills.

- Be able to learn to use basic software, such as Google Drive and Shopify.

- A hands-on approach and willingness to do the physical work needed to fulfill orders

each day.

- A willingness to provide customer service cover and support when needed.

- The ability to work in a fast-paced environment and manage others to meet targets

- Experience working in a Distribution Center or similar environment

- Ability to do extra hours during busy periods to ensure the fulfillment of all customer

orders within the 48-hour window.
