Job Title: Administrative Secretary

General Purpose:
Provides administrative and clerical support to the Housing Operations Department. Perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing, and maintaining paper and electronic files, or providing information to callers.
Essential Duties and Responsibilities:
- Greet visitors to the department and provide them with accurate information to answer questions.
- Direct visitors to the appropriate staff members.
- Ensures that the assigned work is accurate and completed on time.
- Respond to departmental requests promptly and courteously.
- Answers telephone calls promptly and respond to their inquiries.
- Prepares and composes letters, financial applications, memorandums, and reports as required, ensuring that the documents are accurate.
- Take meeting minutes and transcribe them as required.
- Receives, sorts, and distributes departmental mail.
- Orders and maintains office supplies.
- Ensure that files and filing systems are up-to-date, accurate, and neat.
- Schedules meetings and ensures that meeting attendees are aware of the meeting content, location, and time of the meeting.
- Other duties as assigned.
Education/Experience/Certifications
- Associate’s Degree and two (2) years of administrative experience
- An equivalent combination of education, experience, and training, which provides the required knowledge, skills, and abilities to perform the essential duties of the job.
Qualifications/Skills
- Microsoft Office
- Experience with Yardi Database System (preferred).
- Excellent communication skills
- Excellent customer service skills
- Experience working in an office environment.
