Job Title: Buyer/Inventory Coordinator
FLSA Status: Hourly/Non-Exempt
Full Time: M- F 8:00 AM- 4:30 PM

General Purpose:
The primary purpose of this position is to purchase materials and assist in managing inventory control ensuring compliance with regulations, policies, and procedures. All activities must support SMHA's mission, strategic goals, and objectives.

Essential Duties and Responsibilities:
Verify accurate inventory levels at all warehouse locations.
Review and/or update minimum and maximum inventory levels in Yardi.
Perform compliance checks at identified warehouse locations every month and report any discrepancies.
Ensure project goals are met promptly.
Maintains, records, and troubleshoots inventory transfers.
Assists in ensuring that Agency procurement, purchasing, and inventory management objectives are met through the coordinated efforts of personnel; manages communication channels between staff and other departments within the Agency.
Interacts with AM property, Maintenance, and area managers, coordinating procurement and purchasing activities; guides AM agency staff in proper purchasing procedures.
Prepares and processes accurate requisitions for ordering materials.
Monitors quote system; examines quotes for errors and conflicts such as units of measure or incorrect item numbers; periodically audits system to ensure correct data is entered into the database.
Tracks and follows up on backorders, ensuring that materials are being obtained promptly from vendors; seeks alternative materials/vendors should backorder times become excessive.
Oversee, track, record, and maintains an inventory system to account for tools provided to each maintenance staff person and for the AMP.
Accurately tracks information; prepares and submits all requested reports promptly
Attends meetings and seminars training as required. Ensures that information is shared with team members. Ensures that team efforts are directed to the accomplishment of Agency and department goals and objectives.
Ability to lift up to 50 pounds.
Perform other duties as assigned.
Devotes appropriate attention to SMHA objectives as assigned, ensuring that such goals are met or exceeded.
Maintains a record of acceptable attendance and punctuality.
Represents SMHA professionally and courteously at all times.
Other duties as assigned.

Education, Experience, and Certifications:
Bachelor’s degree is preferred, but not required, with a minimum of three (3) years inventory/purchasing experience, or an equivalent combination of education, experience, and training, which provides the required knowledge, skills, and abilities to perform the essential functions of the job.

Qualifications/Computer Skills:
Must have a valid Ohio driver’s license and be insurable under SMHA policies.
To perform this job successfully, an individual should be competent in the usage of e-mail, the internet, Microsoft Excel, and Microsoft Word software. Must be able to learn other computer software programs as required by assigned tasks.
Working beyond the normal working day may be required.

Job Competencies:
Knowledge of warehouse and inventory operations.
Ability to communicate effectively, both orally and in writing.
Ability to understand and follow oral and written instructions.
Must have good computer skills and the ability to learn Yardi software applications.
Must be able to become familiar with all SMHA sites and warehouse locations.
Must be willing to utilize own vehicle for transportation to and from warehouse locations.
Must dress appropriately for meeting the general public.
Must have a valid Ohio Driver’s License and maintain a driving record that meets the insurability requirements of the Authority’s insurance carrier.
Ability to maintain and organize files.
Must have the ability to work independently.

Physical Requirements:
While performing the duties of this job, the employee is frequently bending, stooping, reaching and lifting, operating computers and other office equipment, and working at all warehouses located at SMHA sites. The employee must be able to lift up to 50 lbs. The employee must be able to accurately exchange information in person, in writing, via e-mail, and telephone.

Working Conditions:
Office environment. Employees may be exposed to outdoor weather conditions. Moderate noise level.
