Daylife & Programming Coordinator will be responsible for supporting the Daylife Programming of 1 Hotel Hanalei Bay that supports the flagship hotel’s goals guest satisfaction, team member brand awareness, reputation and sustainability. 1 Hotels is a platform for change, and the Daylife Coordinator will be a key contributor to achieving these brand efforts at the hotel level, both externally and internally. This role will support the admin and operational tactics of the programming team of 1 Hotel Hanalei Bay through supporting the management of reservations, vendors, supplies, web and property marketing related to Daylife programming.
The Daylife Coordinator will play a key role in supporting and executing Daylife programming and guest experience strategies at Hotel Hanalei Bay. This position helps create a cohesive and engaging guest experience while aligning with the hotel’s goals.

Duties & Responsibilities
- Program Implementation & Guest Experience:
- Assist in organizing and executing Daylife activities across the hotel, ensuring everything aligns to create a seamless guest experience.
- Coordination with Departments & Vendors:
- Work closely with the restaurant, spa, Front Desk and other partners to ensure smooth program execution.
- Manage vendor relationships, agreements, invoicing, and security clearances.
- Project Support:
- Help with various projects such as printing, graphic design, and digital displays to enhance the guest experience.
- Managing Daylife Offerings:
- Update and manage Daylife activities on RTR platform to ensure guests are well-informed.
- Booking Reconciliation:
- Make sure new bookings are synced with guest itineraries for a smooth experience.
- Purchasing Supplies:
- Order necessary supplies for the Daylife office and programming events.
- Communication & Coordination:
- Keep team in the loop regarding changes in the program, such as cancellations or location adjustments, and communicate updates to guests.
- Guest Communication:
- Provide guests with daily or weekly activity recommendations and updates through KYC, including managing cancellations and alternative suggestions.
- Posting & Managing Charges:
- Accurately post charges for paid activities like beach rentals to guest accounts.
- Update Scheduling & Collateral:
- Maintain current schedules and marketing materials for Daylife activities on the hotel website, app, and in printed materials.
- Vendor & PO Management:
- Ensure timely approval and receipt of purchase orders and handle vendor invoicing through Birchstreet.
- Guest Recovery & Requests:
- Follow up on guest concerns and assist with any Daylife programming-related inquiries from guests or internal teams.
- Guest-Facing Assistance:
- Help guests with booking activities and ensure they have a seamless experience throughout their Daylife activities.
- Support the Daylife Manager:
- Assist with larger projects like event calendars, festive programming, luau’s, and special events like Full Moon Parties.
Passionate about hospitality and providing superior guest service.
- Passionate about organization and details with a minimum of 1 year of similar work experience.
- Prior experience in an administrative role, strong organization and technical skills, ability to multi-task and a team player.
- Is flexible and willing to meet the demands of a 24-hour operation.
- 2 years of experience in guest services, preferably in lifestyle or luxury hospitality
- Passion for the mission and values of 1 Hotels, with general knowledge of sustainability issues
- Exceptional verbal and written communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Strong interpersonal skills and service/hospitality orientation
- Team players willing to pitch in to support colleagues in all areas
- Strong communication and interpersonal skills to engage with both guests and staff.
- Excellent organizational skills and attention to detail.
- Ability to multitask and prioritize in a fast-paced environment.
- Proficiency with RTR, KYC, Birchstreet, and other systems.
- Experience in hospitality, event coordination, or related fields is preferred.
- Positive, can-do attitude with a passion for delivering exceptional guest experiences.
- Ability to support and collaborate across departments to ensure a smooth operation.
