JOB DESCRIPTION:

Under general supervision, primary responsibilities include triage of all incoming calls, and greeting and assisting guests and visitors to the State Bar of Arizona in both English and Spanish. Serves as an information resource for the Bar’s membership, staff and public; assesses needs of callers, makes appropriate referrals to community resources or routes calls to appropriate Bar personnel or departments. Performs a variety of administrative support activities including managing the conference rooms and related calendars.

The duties and responsibilities listed below are essential to the employee’s position.

  • Professionally greets all visitors/callers. Assists individuals directly or directs person to the appropriate person/division/department.
  • Follows internal security protocols established for Front Desk/Reception area. Communicates regularly with Resource Center Supervisor regarding any security developments and reports security incidents to appropriate staff
  • Provides administrative support for the State Bar which may include telephone coverage, mailing projects, filing, or other tasks as needed
  • Prepares daily conference room schedule and updates lobby marquis. May be asked to prepare general correspondence. Update member records in the database, may process payments, handle general administrative tasks, as assigned.
  • Is cross-trained in other Member Services programs and resources to provide assistance as needed.
  • May be responsible for collecting and collating metrics to evaluate efforts, measure success, alignment with strategic plan, goals and related activities.
  • Performs all other related duties, as assigned. May be requested to assist with special projects from time to time.

Education And/or Experience Required

Requires a High School Diploma or General Education Degree (GED). Bilingual (Spanish) preferred. Minimum two (2) years’ experience in a front desk/reception or administrative position required.

  • Ability to read and comprehend instructions, correspondence, and memos. Good spelling and grammar skills.

  • Excellent telephone etiquette and verbal communications.
  • Ability to handle and prioritize multiple, competing tasks and demands and to seek supervisory assistance as appropriate.
  • Is a self-starter and can work independently.
  • Ability to file alphabetically.

Computer Skills

Microsoft Windows environment with Office Suite to include formatting and production of word processing documents, spreadsheets, presentations and reports. Ability to use tools for video conferencing, as needed. Ability to develop working knowledge of digital databases, digital records management and related software.

Regular attendance is required. Overtime may be required to fulfill duties of position. At times, individual must be able to work in a fast-paced environment with ability to handle and prioritize multiple, competing tasks and demands and to seek supervisory assistance as appropriate. Ability to issue-spot and correctly categorize nature of inquiry for referral to appropriate person or department.

The Employee frequently lifts and/or moves up to 40 pounds. Specific vision abilities required by this job include close vision, ability to adjust focus, and manual dexterity in combination with eye/hand coordination. Specific auditory abilities required by this job include ability to accurately hear information conveyed via telephone and ability to work in area with ambient noise. Work environment is subject to interruptions, varying and unpredictable situations and time pressures related to multiple tasks. It also requires regular use of computer keyboard and monitor. There is extensive repetitive motion in using hands/wrists.
