Under the general supervision of the Information Technology Supervisor II, Information Systems Division (ISD), Bureau of Enterprise Technology Section (BETS), Compliance and Asset Management and Procurement Unit, the incumbent manages the data within the Helix Asset Management (HAM) System and serves as liaison with division IT Support staff to facilitate IT asset management throughout its lifecycle from purchase to retirement.

The incumbent must analyze data and situations, identify and solve problems, and effectively manage large amounts of data using database filters and queries. They must communicate effectively and establish and maintain constructive, professional relationships with peers, customers, and management.

The incumbent must be knowledgeable in State policies, guidelines, and procedures, regarding IT asset and procurement management. This support includes ability to intake, process, and deliver all IT assets; key, enter maintain, manipulate, and report pertinent data using an asset management system; and facilitate IT asset repair/return and disposal.

Duties performed:

  • Monitor inventory levels across all locations to ensure optimal stock availability and placement, both onsite and virtually.
  • Conduct regular audits of stock levels to maintain accuracy and integrity of data within the Helix Asset Management (HAM) system.
  • Oversee the retrieval of freight upon delivery, ensuring timely and accurate receipt of assets.
  • Ensure IT assets are properly received into stock within FI$CAL and the HAM system, maintaining an accurate and current inventory.
  • Collaborate with HAM system administrators to update available models, asset warranties, maintenance contracts, and licenses.
  • Actively participate in projects focused on integrating and automating asset management processes.
  • Create and update hardware asset management policies, procedures, and guidelines to align with best practices and organizational standards.
  • Align hardware asset management practices with organizational objectives and strategies to support overall business goals.
  • Stay up to date with the latest trends and technologies in hardware asset management.
  • Manage the department’s centralized smartphone inventory.
  • Respond to requests for new and modified smartphone service and cancellations.
  • Program devices and perform troubleshooting as required.
  • Provide input on mobile technology changes.
  • Facilitate service changes with wireless service provider.
  • Initiate purchase requests and review SCO accounts with service providers for accurate billing.
  • Analyze and design reporting requirements, information technology dashboards and other reporting mechanisms to respond to executive requests.
  • Perform quality assurance activities that include monitoring IT assets, testing dashboards and reports against requirements and validating data.
  • Act as liaison between IT Support Teams, the Information Security Office, and Network Support to track, manage, and prepare lost and stolen documentation.
  • Maintain a record of missing IT assets and prepare Lost/Stolen Reports.
  • Create, update and maintain version control of all ISD related forms.

This position is located at The Emerald Tower on Capitol Mall, steps from Tower Bridge and is walking distance to the State Capitol. Overlooking the Golden 1 Arena and Downtown Commons, the office is accessible from Sacramento Regional Transit’s light rail and bus systems, with convenient access to I-5, I-80, US 50 & US 99.

This position is eligible for hybrid telework under California Government Code Section 14200 for eligible applicants residing in California. All telework schedules are subject to change and may be reevaluated at any time. Specific telework arrangements may be discussed in more detail with the respective hiring manager. Telework does not change the terms and conditions of employment, the essential functions of job duties, or required compliance with the State Controller's Office policies.
