The duties that the incumbent of the vacancy will be expected to perform. Duties Description The Program Aide duties in the Bureau of Fiscal Management will include but are not limited to the following: • Create and process DOS program requisitions, and purchase orders within the Statewide Financial System (SFS) and via NYS purchase card to secure various goods and services necessary to effectively and safely conduct core mission responsibilities. • Validate receipt of goods and services, verify expense reports, maintain account records and pay vendors and service providers, review vendor and service contracts and procurement regulations, review purchase documentation, track outgoing payments and monitor expenditures, reconcile statements and purchases. • Prepare analysis of vendor and service provider accounts, correspond with vendors, Department staff and other stakeholders and service providers, research and resolve invoice discrepancies and inquiries, occasionally provide tabular and narrative reports. • Enter and upload invoices into the Statewide Financial System (SFS), prepare electronic transfers and payments within SFS, post transactions using pre-established coding to Agency journals and ledgers, assist with Internal Controls audits and maintain petty cash system.
