What are the responsibilities and job description for the Testing Services Administrative Assistant position at State Fair Community College?
Position Summary: The Testing Services Administrative Assistant serves as the front line of the Testing Services office. They will be responsible for making testing appointments, managing the Testing Center schedule, providing accurate and timely information for walk-in traffic and email correspondence, and trouble-shooting technology. Additionally, this position acts as a test proctor for all assessments administered at SFCC, helps maintain testing integrity and security, and completes testing data management to assist the Coordinator of Testing Services. This position is required to secure and maintain certification for third-party vendors and shares responsibility for front line customer service in the of the Testing Services office by providing excellent customer service, answering telephone calls and completing office tasks, as assigned.
- Individual will assist supervisor with the preparing and proctoring of computer based standardized testing. These duties include:
- Completing all necessary pre-registration activities using various testing software
- Checking in examinees and verifying identification
- Explaining the exam process, securing personal belongings, escorting examinee to assigned computer, assisting examinee when beginning the exam, monitoring examinee(s) and providing technical assistance during examination time
- Reporting all exam discrepancies in a timely and efficient manner and/or communicating with technical support to investigate and fix technical issues
- Understands and implements the different testing procedures for each exam and adheres to quality and security measures

Maintain files of paper tests provided by faculty and administer paper tests as directed
- Establish a positive relationship with faculty to help schedule Technical Skill Assessments
- Establish, develop, and maintain a relationship with the staff at the extended campus sites as well as other campus offices

Maintain the Testing Services schedule in the Testing Services office on the Sedalia Campus Enter test scores into Banner
- Run the upload process on a daily/weekly/monthly basis as needed
- Hand enter scores through individual forms as test takers complete testing
- Work closely with the Disability Services Office to enable students to receive accommodations during testing
- Work closely with the business office to manage invoices for high schools and business and industry clients;
- Assist the Coordinator to manage the departmental budget
- Assist in ordering exams and supplies
- Adhere to confidentiality principles and guidelines, including FERPA;
- Duties may be adjusted as Coordinator sees fit

Qualifications:
- Experience – Experience in an educational setting (teacher, teacher’s aide, paraprofessional, substitute, test proctor, library work, etc.) preferred, but not required.
- Education – The candidate will have a minimum of an Associate’s Degree.
- Needed Skills – Basic organizational skills, awareness of test security and confidentiality guidelines, ability to work with SFCC colleagues, ability to answer questions and provide services to students, faculty and community members, attention to detail, ability to follow written and oral instructions, ability to meet deadlines and complete tasks satisfactorily, good working knowledge of standard written English, proficient with computers and Microsoft Office productivity software, Adobe Acrobat, various internet browsers such as Google Chrome and Firefox. Experience using Banner preferred, but not required.
- Cannot currently be enrolled at State Fair Community College.
Upon hiring, and as a condition of employment, the candidate must be able to obtain and maintain certifications required to administer exams given in the SFCC Testing Center, including but not limited to Pearson Vue, HiSET, Meazure, ATI Testing, MSSC, NIMS, PRAXIS, Accuplacer, ASE, CLEP, IsoQuality Testing and NHA Now
Physical Requirements:
- Sit, stand, stoop, and walk, use hands to finger/touch, handle or feel, and talk and hear.
- The employee must be able to move around and about their workspace, including responding to a test taker within 10 seconds of requesting help.
- Operate a computer as required by college guidelines and testing company processes.
- Specific vision abilities include close vision.
- There is an occasional need to lift objects (up to 25 pounds) and perform similar actions during the workday.

Standard Work Schedule: Testing Services are open standard business hours (Monday-Friday 8:00 am- 5:00 pm). Evening hours may be expected during peak periods. Vacation is highly discouraged during peak periods.
Travel Requirements: No travel required.
- Completed applications will include SFCC application, cover letter, resume and if applicable transcripts. Employment will require a criminal background check at College expense. Preference is given to Missouri residents.

Department funded positions are available for both student and non-student applicants. These positions are limited to a maximum of 600 hours per fiscal year or 550 hours per fiscal year if the candidate is a retiree of the PSRS or PEERS Missouri Retirement System. A fiscal year is defined as July 1 to June 30. In addition, a part time employee can not work more than 17 hours per week unless the position has been budgeted and approved to work beyond this maximum.
