What are the responsibilities and job description for the Chambers Judicial Assistant 1 (41-3345) Dillingham Superior Court position at State of Alaska?
The Dillingham Superior Court of the Alaska Court System seeks candidates for a Chambers Judicial Assistant 1 (salary range 12) reporting to the Honorable Christina Reigh. This position will provide support in a variety of administrative areas.
Applicants transferring from another State of Alaska agency or applicants with prior work experience or education in the legal field may receive consideration for advance step placement.
Chambers Judicial Assistant and Courtroom Judicial Assistant Duties:
- Responsible for the timely flow of paperwork between the judge and clerk's office; type or transcribe and proofread correspondence, copy and distribute letters, judgments, orders and other documents generated and received in chambers;
- File judge's correspondence, copies of decisions and all other documents received; ensure timely docketing and event updates into the case management system; run case audit reports to ensure accuracy of data and timely tracking of workflow;
- Screen all visitors and telephone calls; schedule all meetings and visitor appointments; function as secretary for visiting judges; work files that have motions pending and route these to the judge when ready for decision;
- As a courtroom judicial assistant, set up the courtroom for each day's calendared hearings; perform microphone checks and distribute daily calendars; ensure files are prepped and ready for each hearing; set up the courtroom for weekend and holiday arraignments; keep an adequate supply of court forms;
- Monitor microphones and production of a clear and audible recording of each hearing; prepare accurate and concise log notes of proceedings; distribute log note copies to parties;
- Introduce each court session, administer oaths, call roll of prospective jurors, mark and secure all exhibits admitted as evidence;
- Occasionally travel to other court locations to perform in-court duties as necessary;
- Assist as a back-up for the Clerk's office when short-staffed.
This position is assigned to the court's partially exempt service; incumbents serve "at-will" to the hiring authority.
PLEASE NOTE: Upon the retirement or resignation of the Superior Court Judge, this position will end unless the incumbent is interviewed and selected by a new incoming judge.
Work Hours: Full-time court employees are scheduled to work 37.5 hours per week. The work hours for this position are Monday – Friday, 8:00 a.m. to 4:30 p.m. with a one-hour lunch break.

Two years of progressively responsible, fully qualified work experience as an administrative assistant.
AND
The ability to keyboard at least 40 words per minute (net).
Substitution:
Completion of an appropriate vocational training course of study such as legal secretary, paralegal, or office skills will substitute for one year of the required administrative assistant work experience.
A bachelor's degree from an accredited college will substitute for one year of the required administrative assistant work experience.
Twelve months of work experience performing general clerical work that demonstrates work skills equal to those of a Court Case Manager 1 with the Alaska Court System will substitute for one year of the required administrative assistant work experience.
NOTE: Work experience as a legal administrative assistant is preferred. Positions in this job classification are in the partially-exempt service and serve at-will to the appointing authority.
