Job Summary:
The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is seeking a qualified individual to assist the Occupational Health Nurse (OHN) in ensuring a safe and healthy work environment. This position will be responsible for all administrative duties concerning the management of confidential occupational health records and assisting the OHN in their day-to-day nursing tasks.
Job Duties:
- Handles confidential matters regarding employees and the agency
- Assists the OHN in responding to client requests and needs, such as phone calls, emails, notifications, and written documents delivery
- Assists in the maintenance of confidential occupational health medical records for active and inactive employees and prepares new files for new hires
- Enters data and daily processing of occupational and non-occupational injury reports, including assisting the OHN on follow-up, and processing of Family and Medical Leave Act (FMLA), Temporary Work Assignment (TWA) and Modified Duty
- Maintains weekly statistics reports regarding FMLA and TWA
- Schedules and organizes the business workflow of the Occupational Health Unit (OHU)
- Gathers medical records following employee requests, and compiles information to update technical manuals
- Provides technical assistance and information to the general public and immediate staff according to Department procedures
- Conducts research regarding verification of bills and processes invoices for proper payment
- Sorts incoming and outgoing mail
- Maintains the inventory of equipment and supplies
- Drives on State business
- Performs other duties appropriate to the assignment
Knowledge, Skills & Abilities (KSAs):
- Principles and practices of administration and office management to include field OHU clinical setting
- Report generation, including style and format
- Confidentiality of medical records and files management
- Computer usage and various software programs (Microsoft Office and Google Suite)
- Operation and maintenance of standard office equipment
- Agency policies and field OHU procedures and reporting requirements

Selective Preference(s):
- Minimum one (1) year of work experience in administrative tasks
- A combination of training and experience in administrative areas
Pre-Employment Requirements:
Employment is contingent on the selected applicant passing a background investigation and drug test.
If this position requires driving or the use of a vehicle as an essential function of the job, then the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
In an effort to maintain a safe environment, all employees are required to take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter.

Retirement:
Positions in this classification participate in the Arizona State Retirement System (ASRS).
Enrollment eligibility will become effective after 27 weeks of employment.
