In doing so, the Facilities Coordinator conducts an annual physical inventory, documents all new purchases of inventory items, disposal of inventory items, and location of inventory items.
ESSENTIAL FUNCTIONS:
- Perform a physical inventory of all assets on an annual basis.
- Provide a written report of the outcome of the inventory to the Chief Fiscal Officer and the Director.
- Make determinations as to asset class and categorization and input information concerning assets into the AASIS Asset Module.
- Oversee the disposal and relocation of assets within the Bureau and document these changes.
- Assist the Chief Fiscal Officer in providing information related to inventory for the Bureau’s audit.
- Maintain easels and chalk boards.
- Work with the State Energy Department to collect recyclable office paper from all Bureau offices.
- Distribute budget manuals, update bill books, repair small office machines, and deliver copy paper to all Bureau offices.
- Answer the main Bureau telephone and direct and transfer calls to appropriate or requested person.
- Greet members of the General Assembly and other visitors at the Bureau front desk during regular office hours.
- Maintain computer files and paper files in accordance with office procedures and the Chief Fiscal Officer’s instructions.
- Ability to lift and move Bureau office furniture, equipment, other inventory items, and supplies.
- Maintain the ability and knowledge to function as part of an administrative services team, including without limitation assisting with the workload of other Administrative Services Division staff when necessary.
- Perform other related duties as requested the Chief Fiscal Officer and the Director of the Bureau.
- High School diploma or equivalent.
- Knowledge of assets management.
- Ability to maintain records manually and electronically.
- Ability to identify and resolve discrepancies in documents or numeric data.
- Ability to compile information and prepare reports.
- Proficient in Microsoft Word, Excel, Microsoft Outlook, the Internet, and Access database programs.
- Strong organizational skills, including the ability to organize workload and set priorities.
- Able to complete physically demanding work and to lift and carry heavy objects.
- Able to kneel, crouch, or crawl in awkward spaces to repair equipment.
- Effectively and efficiently performs the annual inventory process.
- Meets the deadline for providing the report concerning the annual inventory.
- Accurately maintains all records concerning inventory, including acquisitions, transfers, and disposals within the Bureau internal inventory program and the AASIS Asset Module.
- Works well with and timely provides information to the Chief Fiscal Officer for the Comprehensive Annual Financial Report and the Bureau’s annual audit.
- Adept in communicating with Bureau staff, state agency staff, and members of the public, both verbally and in writing.
- Demonstrates proficient time management skills, including the ability to complete work under strict time deadlines.
- Exhibits professional attitude, appearance, and communication skills.
- Is assertive- undertakes tasks on own initive.
- Perform other related duties as requested by the Chief Fiscal Officer and the Director of the Bureau.
