Description of Job
The Graduate Nursing Program Support Specialist provides administrative and clinical practicum requirements site support for the Director of Nursing, Graduate Program Director, faculty, staff, and students as it pertains to the graduate program. This full time administrative professional position is on campus and is the initial contact for graduate program needs.
Responsibilities include:
- Being the point of contact for graduate program inquiries
- Assisting Graduate Program Director as requested
- Administering the application and admission processes
- Facilitating agency contracts
- Monitoring and reporting currency of student records and clinical requirements
- Maintaining up-to-date student files for both Residential Instruction and Online programs.
- Collecting annual report data from the graduate program for the Graduate Nursing Program Director and Dean & Director of the School of Nursing
Primary Duties
Administrative duties:
- Coordinates the graduate application and admission processes with university departments such as the Admissions Office and Registrar.
- Works with the Assistant to the Director, School of Nursing to create and maintain contracts with numerous health care agencies that provide clinical experience for graduate students.
- Works with Assistant to the Director, School of Nursing to create requests for job offers for needed graduate program staff/faculty and work-study positions
- Works with Clinical Liaison and Graduate Nursing Program Director to maintain records and assist with clinical affiliation, student and preceptor compliance requirements. Monitors electronic graduate student and faculty records using spreadsheets and reports for currency (includes background checks, immunization records, drug screens, CPR & ACLS, certificates, licenses, preceptor sites etc.) communicating discrepancies and compliance issues.
- Maintains up-to-date student electronic files, noting special instructions/discussions in the file.
- Maintains organization of all graduate archive and current documents and spreadsheets.
- Supervises work-study students.
- Monitors SON website for accuracy of both undergraduate and graduate information and updates site as needed.
- Attends regularly scheduled graduate faculty meetings and maintains minutes.
- Attends regularly scheduled staff and faculty meetings.
- Collects, maintains and obtains accurate and reliable data and prepares tables/charts for reporting, as requested to maintain university, state and accreditation reporting requirements.
Other duties as assigned such as:
- Assists with special events (research day, convocation, graduation, hooding, etc.)
- Collects and maintains data for annual reports for Accreditation and Organizational needs
- Assists with accreditation self-study and visits as requested
- Assist with front office coverage as needed for leave coverage
Facilitates and provides accurate and timely communication to students, faculty, SON leadership and other stakeholders
Salary:$45,000 - $52,000

Minimum Qualifications
- Bachelor’s degree from an accredited college or university
- Excellent verbal and written communications skills, organizational skills and attention to detail
- Competent in Microsoft Office Word, Excel, PowerPoint
- Experience with, or commitment to, working in a diverse workplace and serving a diverse population
Preferred Qualifications
Blackboard and Web-master skills
Customer relation skills
Basic skills working with audio/video and other multimedia software
Able to quickly learn new software programs used to track student and clinical requirements
Knowledge of university nursing programs
- Knowledge of federal policies (FERPA, HIPPA, etc.) and university policies such as transfer evaluations and degree requirements.
