EXAMPLE OF DUTIES
This position is responsible for the office administrative operations including the coordination of the enrollment and registration processes for concurrently enrolled students. In collaboration with the Associate Dean of Concurrent Enrollment, this position will exercise independent judgement, collaborate with the CE Team to develop initiatives and implement processes to facilitate course placement, college enrollment and registration. This position adheres to compliance requirements for the Concurrent Enrollment (CE) Program and guides the assessment of current programming and processes to strengthen student enrollment and success, improve the quality of services, and increase constituent connections. This position will support and serve the Concurrent Enrollment Department. The position will work closely with internal department staff, internal ACC staff, and external partners. This position manages CE operations. Provides direct front-line service to students, parents, high school partners, faculty and staff in person, on the phone, and through email; determines customers’ needs and provides service as appropriate through immediate solution or transfer to the appropriate person or department. Supervises and manages overall CE office operations including daily functions of opening/closing CE office, frontline customer support, email and phone coverage, hourly employee office staffing and work execution, and all the support activities. Analyzes, reconciles, and tracks the department budget in conjunction with Associate Dean. Serves as purchasing authority for CE office and staff. Prepares fiscal forms and supporting documentation for department expenditures and coordinates payment processes. Creates and revises office procedures, office manuals, various databases, and tracking spreadsheets utilizing advanced skills in Microsoft Office applications. Coordinates department/CE meetings by scheduling, attending, taking, and distributing minutes in a timely manner. This position supports and contributes to the CE student enrollment and registration processes by assisting students with admission applications, supporting CE staff with registration processes, and assisting with the coordination of high school CE course rosters and completion of the corresponding coding and registrations steps. Supports and contributes to the overall marketing and communications efforts of the Concurrent Enrollment Office. Updates and maintains the ACC CE webpage. Maintains a CE calendar of events and activities. Collaborates with other ACC departments, such as Admissions, Academic Advising, Records and Fiscal on events, processes and the calendar. Creates and maintains enrollment reports and high school profile sheets each semester.
