ADMINISTRATIVE ASSISTANT III - SES
Anticipated Vacancy
Your Specific Responsibilities: The incumbent of this position serves as the personal executive assistant to the Chief of Staff for Department of Commerce (FloridaCommerce). The incumbent serves in a confidential capacity by performing duties relative to personnel, purchasing, budget and fiscal matters. Frequently performs special assignments of a highly confidential nature.
This position requires knowledge of the Department’s mission, goals and objectives in order to effectively assist the Chief of Staff with the day-to-day operation of the Department. The incumbent must be knowledgeable of the Department’s relationships with the federal government, Governor’s Office, and Federal and State Legislature.
The incumbent serves as the Chief of Staff’s personal liaison with FloridaCommerce administration and managerial personnel, Governor’s Office staff, and other state and federal agencies. The incumbent assists in responding to inquiries from officials of the Florida Legislature. As required, the incumbent will obtain necessary information and prepare responses in proper format for the Chief of Staff’s signature.
The incumbent reviews and routes incoming correspondence, which may include independently composing replies to routine correspondence for signature. The incumbent independently decides what needs the immediate attention of the Chief of Staff and ensures that other issues are handled by appropriate staff.
The incumbent is responsible for the Chief of Staff’s calendar and arranges appointments, meetings and conferences. As required, prepares agendas and ensures that other details are being properly handled. The incumbent is responsible for the Chief of Staff’s itineraries and makes necessary travel arrangements and hotel accommodations. Prepares vouchers and travel requests/reimbursements.
Organizes and maintains files for the Chief of Staff. Provides specialized or technical services to the Chief of Staff in official meetings, public functions and public relations matters.
As required, assists with day-to-day activities of the Office and any other activity required for the effective operation of said office. Assists management of the Department as required.
