Your Specific Responsibilities:
The Florida Department of Health, Division of Medical Quality Assurance (MQA) serves the public by licensing qualified health care providers, enforcing standards among licensees and facilities, and informing licensees and the public on matters related to providing safe health care to Floridians. The Bureau of Health Care Practitioner Regulation is specifically responsible for the policy making and programmatic activities related to licensure of health care practitioners and regulated facilities in the state of Florida.
The incumbent in this position will perform varied and complex professional and regulatory activities, including detailed research to answer inquires from persons located throughout the United States and other foreign countries who are currently licensed or seeking licensure in Florida as a health care practitioner in relation to the Board of Medical Therapies. The incumbent in this position will be required to understand Board, Division and Department rules and Florida Statutes. The incumbent will be required to exercise independent judgement and initiative in carrying out assignments to completion by communicating effectively, both verbally and in writing.
This position reports directly to the Program Operations Administrator. This position is a professional team lead position that is responsible for performing the more complex regulatory activities of the Florida Board of Psychology Office and the Office of School Psychology.
Your Specific Responsibilities:
Team Lead Worker Duties
- Monitors timely completion of all application reports by the Psychology and School Psychology team and serves as a member of the processing team. Reports to POA when application files are not being reviewed in a timely manner. Reports to be monitored include the following: initial applications; unassigned money; mail 0/0 and repository); exam scores; deficiency; expiry; processed apps pending action; licensure error reports, as needed; and other profession specific application reports, as applicable.
- Serves as back up to and collaborates with the RSIII on the functions noted below.
- Acts as a subject matter expert for the professions of Psychology & School Psychology, when other team members are confronted with situations that are outside the norm. Assists in handling problem applications for the profession.
- Monitors the zzzz feedback email box for Psychology & School Psychology. Works with the RSIII to ensure emails are distributed to the appropriate staff and ensures a response is provided within 24 hours. Reports failure to respond to emails within 24-hours to the POA.
- Assists and serves as back-up preparer of Psychology meeting agendas (minimum of 4 meetings per year). Works with the RSIII to timely achieve the following: independent planning and formulation of all in-person and conference call meeting agendas, under the coordination of the Program Operations Administrator (POA); coordination with Board staff, attorneys and unit management to ensure submission of all required agenda items; ensures all agenda material is compiled and organized according to unit standards; timely publishes electronic agendas and addenda to Board members and staff; timely publishes required pre and post meeting information (e.g., agendas, FAR notices, public books and audio) on the applicable profession's website; prepares meeting minutes; timely reviews and files post-meeting Board orders; and timely completes all other assigned post-meeting tasks, as assigned.
- Processes exemption from disqualification applications for Psychologists and School Psychologists, as needed.
- Processes and tracks all petitions related to Psychology & School Psychology, including, but not limited to, those for administrative hearings, variance and waiver and declaratory statements.
- Performs quarterly reviews of the Psychology & School Psychology website.
- Trains new employees and provides continuing training to existing employees for process changes.
- Analyzes and recommends solutions to administrative problems relating to application deficiencies and required qualifications.
Application Processing and Administrative Duties
- Serves as a member of the application processing team. Independently evaluates and monitors applications for Psychologist & School Psychologist licensure according to the criteria established in Chapter 490, F.S. Ensures all applications are timely and accurately processed according to established guidelines and placed on a Board meeting agenda for individual consideration, as applicable. Ensures all psychology and school psychology exam scores are pulled and timely acted upon. Performs daily entry of psychology and school psychology mail in the repository and verifies accuracy of mail scan lists. Processes applications for the professions of electrology and occupational therapy, as assigned. Assists other Medical Therapies and HCPR professions, as needed.
- Responds to general inquiries from the public by telephone, email, and in writing in an appropriate and timely fashion; interpreting customer questions and provide answers to general and complex regulatory questions; providing application status updates and directions to applicants and licensees concerning licensing processes and the submission of applications or requests; transferring customers to the other areas of the department; or other agencies when appropriate. Provides customer service via phone and in writing for the professions of electrology and occupational therapy, as assigned. Assists other Medical Therapies and HCPR professions, as needed.
- Takes the lead in ensuring the Psychology File Closure reports are timely and accurately processed prior to each Board meeting. Processes all reactivation requests for inactive or retired licensees for psychologists and school psychologists as well as the professions of electrology and occupational therapy, as assigned.
- Performs other duties as assigned.

Qualifications:
Preference will be given to those who meet the following minimum requirements:
- High School Diploma or equivalent AND 2 years’ experience that includes data entry, document preparation, computer software use, evaluating legal documents or evaluating for compliance with regulations, customer service, or handling sensitive information.
- College education can substitute for the required experience on a year-for-year basis.
