Position Overview

The Illinois Department of Corrections is seeking an Office Coordinator to work at the Robinson Correctional Center in the Records Office. This position is responsible for performing technical office support functions, calculating sentence credits and maintaining files. The ideal candidate should have good attention to detail and be very organized. We invite all qualified individuals to apply.

Essential Functions

  • Performs technical office support functions including the calculation of earned program sentence credit and good conduct credits, encompassing a knowledge of applicable statutes, appellate mandates, and how increments of time are awarded.
  • Organizes and maintains all files relating to the earned program sentence credit and the good conduct credits.
  • Performs sentence calculations including, but not limited to, revocation and restoration of good conduct credit.
  • Monitors the Offender360 (O360) computer program to ensure correct data for appropriate time awards, time revocations, projected release dates, and mandatory release dates are reflected.
  • Compiles data and statistics to assist in regulating, monitoring, and processing information and documents regarding sentence calculations.
  • Keyboards correspondence and forms pertaining to individual in custody issues such as revocation and restoration of credits and sentence calculations.
  • Performs other duties as required or assigned which are reasonably within the scope of those enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to two (2) years of secretarial/business college, OR completion of high school and two (2) years of related office experience, OR two (2) years of independent business experience.
  • Requires ability to keyboard accurately 30 words per minute.

Preferred Qualifications

  • Prefers at least two (2) years of work experience utilizing utilizing Microsoft Office Suite or similar computer software.
  • Prefers at least two (2) years of work experience gathering information for report preparation.
  • Prefers at least two (2) years of work experience proofreading documents for correct grammar, spelling, and punctuation.
  • Prefers at least one (1) year of work experience of using and/or interpreting legal terminology.
  • Prefers at least one (1) year of work experience preparing and maintaining file systems.
  • Prefers at least one (1) year of work experience responding to written and verbal inquiries.

  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
