Position Overview

As an administrative secretary to the Warden at Southwestern Illinois Correctional Center, you will be instrumental in assisting with the processing of all aspects of the duties and responsibilities of the Warden’s office. You will ensure that direction disseminated by the Warden and his/her superiors is relayed in a proficient and accurate manner to the appropriate locations. You will also maintain accurate files and electronic documents to ensure the smooth and efficient operation of the Warden’s office. Your organizational skills will make you a key player in an ever changing and fast paced environment. We encourage all qualified applicants to apply!

Essential Functions

  • As an administrative secretary, conducts special projects and studies by gathering data, coordinating, monitoring, and completing assigned projects of a confidential nature.
  • Keyboards correspondence, memoranda, reports, and other documents from pre-recorded material.
  • Provides information on institution programs, policies, procedures, and administrative affairs.
  • Serves as receptionist.
  • Maintains confidential files of correspondence, individual in custody lawsuits, Affirmative Action cases, and Internal Affairs related documents.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of two (2) years secretarial or business college AND three (3) years of secretarial experience; OR completion of high school AND five (5) years of experience.
  • Requires ability to keyboard accurately at 55 wpm.

Preferred Qualifications

  • Prefers at least one (1) year of experience working in a physical office setting.
  • Prefers at least one (1) year of experience working as a secretary for high level administrative staff.
  • Prefers at least one (1) year of experience working in an office with access to predominantly confidential information.
  • Prefers at least one (1) year of experience working with common office equipment and tools.
  • Prefers at least one (1) year of experience in use of Microsoft Word, Excel, and Access or similar software.
  • Prefers at least one (1) year of experience with maintenance and management of confidential database information.
  • Prefers at least one (1) year of experience interacting with staff and Individuals in custody, as well as high level state and local officials.
  • Prefers at least one (1) year of experience with tasks that require superior organizational skills and the ability to multitask as needed with utmost accuracy and proficiency.

Conditions of Employment

  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of the position held, is prohibited.
