Position Overview
This position coordinates annual training and reporting requirements for departmental staff that are the responsibility of the Office of Chief Counsel.
Essential Functions
- Reviews the annual Ethics Training Guidelines for the Ethics Officer (EO) and Training Administrator and submits the agency Implementation Plan to the EO for review.
- Assists with updating databases to ensure that employee information is up to date.
- Creates and revises electronic mandatory training notices which are sent to all staff in the department.
- Administers and tracks the completion of ethics and harassment training and discrimination prevention training for all new employees.
- Creates and monitors a staff list to report training progress during the training period, creates, and revises reminder notices for employees and submits this to the EO for review.
- Works to have all employees complete the mandatory training, compiles a list of those who did not complete the training, and records whether those employees received any discipline.
- Responds to inquiries related to training and provides information and referrals as necessary.
- Completes the Final Year End Report for mandatory ethics training for the calendar year and submits it to the EO for review and submittal to the Governor's Office and the Office of Executive Inspector General (OEIG).
- Works with the Illinois Secretary of State (ISOS) and Executive Ethics Commission (EEC) to ensure that the employee lists are up to date for those required to complete the annual Statements of Economic Interest and Supplemental Statements of Economic Interest.
- Updates online databases with the external agencies and assists with updating the Revolving Door portal when employees join or separate from the department.
- Tracks and sends notices to employees to complete Statements of Economic Interest and Supplemental Statements of Economic Interest.
- Provides support to track litigation and perform other legal related projects for the department.
- Performs duties in compliance with departmental safety rules. Performs all duties in a manner conducive to the fair and equitable treatment of all employees.
- Performs other duties as assigned.
- A completion of a bachelor's degree majoring in business or communications OR Completion of two years of college plus one year of experience with database management, conducting training, handling communications, or combination thereof OR Five years of experience with database management, conducting training, handling communications, or combination thereof.
- Working knowledge of research and statistical methods and techniques.
- Working knowledge of management techniques and organizational concepts.
- Working knowledge of Microsoft Word, Excel, and PowerPoint.
- Ability to work independently and solve problems.
- Ability to maintain harmonious relationships with employees, agency officials, and the general public.

- Valid driver's license.
- Occasional travel which may include overnight stays.
- Successful completion of a background screening.
