The Children’s Trust is looking for a dynamic, detail-oriented Marketing & Events Specialist to help us plan, organize, and execute high-impact events and trainings for the community. This position plays a vital role in managing event logistics, online promotions, and the technical aspects of event management systems.
Position Overview :
The Marketing & Events Specialist will be responsible for engaging with our audiences of the family support workforce, donors, and legislators to increase engagement and participation in Children’s Trust’s events, trainings and initiatives. The specialist will use event technology software to organize, promote / outreach, and register attendees for trainings, events, forums, meetings, conferences, etc. The role requires proficiency in event management software, email marketing tools, and web content management systems to ensure seamless event execution and excellent attendee experiences. The ideal candidate will be detail-driven, possess strong project management skills, and work collaboratively with various internal teams and vendors to achieve successful event outcomes.
Key Responsibilities :
- Event Management & Software :
- Build, manage, and optimize events and trainings in event management software (e.g., Cvent), including registration processes, attendee management, and event timelines.
- Website & Mobile App Management :
- Configure, edit, design, and manage event and training websites, including mobile app interfaces, to ensure smooth user experience and seamless event access.
- Email Correspondence & Communication :
- Develop and send engaging email communications via event software for event promotions, reminders, and post-event follow-up.
- Registration & Reporting :
- Monitor event and training registration progress, track capacity, and maintain communication with program teams to keep them informed on attendance and capacity.
- Event Logistics :
- Assist with the coordination of event logistics, including venue scheduling, vendor management, and on-site support.
- Email Marketing :
- Support the organization’s email marketing efforts by managing email list building, segmentation, and scheduling email campaigns via platforms like MailChimp.
- Website Content Management :
- Regularly update Children’s Trust websites or event landing pages with relevant content and event updates.
- Online Promotion :
- Support the online marketing and promotion of events, trainings, and campaigns across social media, websites, and other platforms.
- Training & Tool Proficiency :
- Stay updated on enhancements and changes to event management tools such as Cvent, Zoom, and MailChimp, and participate in relevant training to ensure optimal tool usage.
- Planning & Coordination :
- Facilitate planning meetings with internal teams and event software staff to ensure successful event execution.
- Collaboration & Content Development :
- Work closely with internal teams to gather necessary information and develop materials for web pages, event promotion, and outreach efforts.
- Vendor Management :
- Draft RFQs / RFRs, evaluate vendor bids, and manage vendor relationships, contracts, and communications.
- CRM Management :
- Assist in setting up, maintaining, and integrating CRM systems, ensuring data is accurate and useful for event planning and promotions.
- System Integration Recommendations : Recommend system integrations to improve workflow efficiency and optimize event management.
Additional Responsibilities : Perform other duties as assigned to support the team and organizational goals.
