Responsibilities
Reporting to the Administrative Specialist II, this position will ensure the accuracy and fiscal policy compliance with critical Accounting duties and will primarily be responsible for Trust Fund Accounting, Offender Welfare Accounting, Monthly Canteen Reporting for eight canteens, and serve as a back-up for the Fiscal Accounting Technician. Job responsibilities include, but are not limited to, the following:
- Ensuring uniform accounting procedures are followed in processing requisitions, warehouse and contact vendor purchases, and payables.
- Adhering to the Department of Adult Correction (DAC) Fiscal Policies and Procedures while managing in-house procurement systems and processes as an integral part of the checks and balances needed to ensure compliance.
- Reporting financial accounting data, specializing in purchasing and payables, and will be required to perform other accounting duties such as trust fund and canteen reporting.
- Planning organizing, reading, and analyzing data for accuracy. P-Card reconciliation and distribution.
- Interpreting various policies and procedures and problem solving as needed.
- Monitoring the budget and verifying encumbrances and expenditures on a daily basis.
- Disseminating budget information to the Administrative Officer III and preparing budget summary reports at the very least on a monthly basis.
- Recommending budget transfers and monitoring all operational and welfare accounts to ensure funds for purchases are available.
- Maintaining all logs, files, and reports. Functioning independently and possessing good communication skills (both verbally and written).
- Assisting with procurement and payable files.
- Monitoring operational and welfare accounts by reviewing monthly North Carolina Accounting System (NCAS) reports.
- Performing Usage order purchasing from the Central Warehouse.
- Monitoring accounts payable for minor medical expenses.
- Ordering of facility office supplies, performing staff reimbursements, and serving as a back-up to the Trust fund Department.
