The North Carolina Department of Revenue is recruiting for a Form Processing Associate in our Submissions Processing Division (SPD). To support the tax laws of North Carolina, the mission of the SPD is to receive and process taxpayer submissions consistently, efficiently, and effectively, while ensuring the confidentiality and integrity of that data. Our vision is to be a Division that meets its quality targets, sets a high standard for other Divisions, and leads innovation for the Agency. The submissions processed annually by SPD account for well over 90% of total revenues collected and more than 11 million tax returns processed by the Agency.
The major purpose of this position is the review and preparation of all tax schedules / documents, to process through the scanners and post to Department's Integrated Tax Administration System (ITAS), Document Management System (DMS), and Public Sector Revenue Management System (PSRM). Another purpose is to receive, tub, sort, bundle and distribute the entire department's incoming no money tax returns and documents. Additional duties include maintaining various inventory reports, secure handling, preparing and destruction of Federal Tax Information (FTI), printing and processing electronically submitted forms and presenting data to leadership as needed. Managing records and returns that have been scanned and are awaiting destruction according to retention schedules which includes retrieving scanned documents to be filed then destroyed once the destruction date is met. Other duties include the processing of various email queues that include researching and pulling documents (for DMS) to be handled appropriately. This staff member will participate in preparing for seasonal staff by preparing / updating training materials, power-points, securing required supplies, creating folders, timesheets, and preparing work areas for seasonal staff to assist in the processing of tax returns and other documents. Physical requirements include sorting documents, lifting batches of documents weighing up to 25 pounds and placing them on shelves and pushing and pulling hampers / carts weighting up to 500 pounds. This staff member will be able to understand and follow established policies and procedures. Knowledge, Skills and Abilities / Competencies
- Experience with explaining and interpreting inventory reports and correspondence to customers and staff
- Working knowledge of data collection and storage to compile, assimilate, and organize printed and electronic information
- Experience with ability to convey information and ideas through a variety of media to individuals or groups; ability to adjust language or terminology to meet needs of the recipient(s)
- Demonstrated experience with the utilization of office equipment and other technology (software and systems) to meet work needs
- Facilitation of workflow and coordinate office support activities with other staff
- Experience with identifying problems and issues to determine the appropriate course of action
Management Preferences :
Experience with sorting, tubbing, and delivering of mail
