Job Duties:
- Provides secretarial assistance through routine administrative tasks (i.e. devises systems for effective service provision & information flow.) Prepares confidential correspondence & reports (i.e. records employee times & handles request for time off: handles complaints from community agencies) maintains confidential files. Contacts various department heads regarding follow-up on program compliance. Performs research, collects data & develops reports. Tracks work completion of professional staff. Produces monthly report. Maintains electronic databases (i.e. resident information, protection from harm, regional resource, overtime roster.)
- Prepares typed complex medical/behavioral technical copy of various programs requiring medical & psychological terminology from rough drafts, written or verbal instructions or dictating equipment (i.e. vocational materials, behavioral programs, psychological evaluations, scenarios, etc.) Produces typed copies of reports which may contain charts, graphs & percentages. Prepares reports requiring set-up style/format; self-corrects materials produces. Utilizes typewriter to produce envelopes, labels for names on flow charts, data collections sheets, etc. Produces final typed copies of confidential &/or technical documents from rough draft, dictation, transcription or general oral instructions; proofreads & corrects materials produce; copies & disseminated materials. Organizes & maintains filing system. Maintains followOpu system. Maintains work rules & directive manuals. Types general correspondence. Inputs information into Unusual Incident Report database. Gathers & collects date & reports from ancillary services (i.e. nursing, OP/PT, social workers, programming, vocational habilitation, speech/language, psychology & outside sources including lab/x-ray, pharmacy, hospitals, podiatry, gynecology, ophthalmology): reviews & ensures all authorization, in accordance with accreditation standards. Collects and distributes mail; orders supplies. Meets & greets visitors, provide assistance to external & internal customers. Maintains equipment in good working condition.
- Serves as receptionist for Health/Safety & Program Services; answers phone, screen calls, takes messages: schedule appointment, etc. Performs general clerical duties such as collect & distribute mail, order supplies, log in assignments,
- Coordinate off campus staff training workshops/conferences, special events & travel arrangements; arranges meetings, assembles agendas, records meeting minutes & gathers data. Performs other duties within range & scope of position.
