Performs standard administrative duties following established methods and procedures at Colleton Maintenance; these duties may include a wide range of responsibilities; making appointments and assisting foremen. Provides assistance with requests from members of the public, either in person or by phone; handles all incoming calls and correspondence, forwards to the appropriate person or office Communicates with the general public in a professional manner. Operates computer using Excel, Microsoft Word, Email, Highway Maintenance Management System (HMMS )and South Carolina Enterprise Information System (SCEIS) to perform various administrative duties in support of the staff and management. Performs procurement duties in Supplier Relationship Management System (SRM) in accordance with SCDOT regulations and contracts, obtain bids, order supplies and submits invoices for payment. Assists timekeeper, serving as back-up timekeeper, entering, verifying employees time into both on-line system in Highway Maintenance System (HMMS) and South Carolina Enterprise Information System (SCEIS). Maintains complex filing system. Prepares, computes and creates reports in personal computer. Prepares memorandums for all road closure requests (parades, races, festivals, etc.) Receives, opens and sorts incoming mail, routes to supervisor; sends acknowledgements or form letters in response to routine inquiries in accordance with standing instructions. Works shifts according to snow plan operating the two-way radio during removal of ice and snow; receives calls from general public and law enforcement. May work 12 hour shifts and/or extended shifts during emergencies and hazardous weather operations. Assists in helping with various forms and other monthly maintenance reports. Making sure monthly reports get to District Office in a timely manner. Assists with all paperwork and documentation for the county Adopt-A-Highway program. Entering new Adopt-A-Highway applicants into HMMS and making sure litter bag pickups are applied to the right group in HMMS system. Performs other related duties as assigned.A high school diploma; or an approved acceptable equivalence. A motor vehicle operator’s license is required.
Physical Requirement: The physical demands for the essential functions of this position include sitting or standing at a desk for extended periods and working on a computer. May be required to lift up to 30 lbs. May be required to work outside of normal work schedule, especially during inclement weather and/or other departmental-related emergencies.
