This position will function as the Executive Assistant to the Chief Financial Officer (CFO), managing the administrative and support activities for the Office of Financial Services (OFS).Plans, coordinates and/or performs complex administrative/organizational activities associated with fiscal and personnel management, procurement, supply services, general accounting and budget for the Office of Financial Services (OFS). Responsible for providing direct/professional administrative support to the Chief Financial Officer (CFO) and area directors within the OFS. In conjunction with the CFO, coordinates and plans activities, meetings, functions, and projects for the division ensuring timeframes and deadlines for scheduled events and statewide requirements are adhered to. Maintains daily calendar and schedule of meetings for the CFO. Logs all incoming documents within an Excel workbook and identifies the originating entity and additional pertinent information ensuring the ongoing location and processing status of the documents/correspondence until final disposition. Reviews and prepares for approval/signature all mail items addressed to the CFO while ensuring accuracy and confidentiality. Responsible for the creation and maintenance of electronic files within a shared directory for tracked documents. Responsible for processing and scheduling all commercial airline travel requests within the agency. Serves as the Commission on Accreditation for Law Enforcement Agencies (CALEA) Standards representative for the OFS and is responsible for assimilating all documents associated with the recurring reporting requirements. Functions as the agency Lodging Card Coordinator for employee travel. In charge of securing hotel reservations utilizing the agency Lodging Card while ensuring only allowable expenses are processed as final payment under this program. Comprehensive technical writing skills are essential for this position. On occasion, the incumbent may be required to facilitate travel related phone calls after normal business hours or on weekends.

State Minimum Requirements - A bachelor's degree and relevant program experience.Agency Minimum RequirementsA bachelor's degree and 5-7 years of relevant experience in business management, public administration, or administrative services.An equivalent combination of education and experience may be acceptable upon approval.Knowledge, Skills and AbilitiesKnowledge of agency policies, procedures, rules, regulations and program services. Knowledge of federal and state laws, policies, procedures, rules and regulations related to the specific administrative/management function. Knowledge of governmental fiscal and personnel procedures, practices and policies. Knowledge of modern office practices, procedures and equipment. Ability to coordinate diverse administrative/management functions. Ability to establish and maintain effective working relationships. Ability to plan, organize and work independently and communicate effectively. Requires light lifting with no overnight travel.
