The purpose of a Records Specialist is to maintain an accurate and organized system of records for the agency. This includes the ability to manage various legal records, both digital and physical. Under general supervision, the Records Specialist is also responsible for ensuring that records are properly maintained and securely stored while providing accurate retrieval of records in response to internal requests.

The purpose of a Records Specialist is to maintain an accurate and organized system of records for the agency. This includes the ability to manage various legal records, both digital and physical. Under general supervision, the Records Specialist is also responsible for ensuring that records are properly maintained and securely stored while providing accurate retrieval of records in response to internal requests.
- The Records Specialist will create requested case files by preparing folders, reviewing and documenting information in the case management system, assuring accuracy and timeliness of information, closing inactive case and matter files, and recording and storing files in the Office records' file room.
- Using established procedures, the section creates requested case files by preparing labels and folders (expandable, etc.) for each new case file; assures the accuracy of the information and timely completion of the request; and may deliver new case files to requestors.
- Using established procedures, close inactive case files via case management system and other systems; appropriately recording and efficiently storing files in the file room until transfer to SRC. Create appropriate SRM storage records to document closed files accordingly.
- Assists staff in locating and/or retrieving case files; requests files from or re-files at SRC; position may require errands to SRC and lifting record cartons containing case files.
- Perform other related tasks as assigned by the supervisor or manager.

- Position requires frequent stooping and/or bending.
- Position requires frequent lifting: up to 50 lbs.
- Position may be required to travel and transport files.
- Handle all records management responsibilities, ensuring the preparation and upkeep of records.
- Review the accuracy of data within databases to ensure that it complies with company policies and procedures.
- Excellent verbal, written, and organizational skills
- Basic computer skills to scan, organize, and access electronic files.
- Must have a good driver's record.
- Must be able to type at least 45 wpm and have knowledge of Adobe and Microsoft Office suite.
- Familiar with automated records and information storage and retrieval systems.
