What You Will Do
The Intake Specialist (Administrative Assistant III) performs complex (journey-level) administrative support work. Works under general supervision, with moderate latitude for the use of initiative and independent judgment.
YOU WILL BE TRUSTED TO
- Perform general office duties such as filing, routing mail, and ordering and maintaining office supplies.
- Assist with answering and routing phone calls and handling requests from walk-in requesters.
- Monitor the Open Records mail inbox and responds to email correspondence and returns calls from the public.
- Monitor the Open Records tracking and management system for incomplete requests or close requests that are not open records request.
- Collect fees for documents and routes to the agency controller.
- Review remittance logs of checks received for the processing and completion of open records request.
- Interact with other departments and the public.
- Draft correspondence and assists with other clerical or legal assistant duties as assigned.
- Respond to inquiries and interprets rules, regulations, policies and procedures.
- Assist in the development of administrative or technical assistance policies and procedures.
- May provide guidance to others.
- Perform other duties as assigned.
- Two years of full-time experience that provided knowledge of administrative support functions and office practices and procedures, or clerical administration and business management practices, such as preparation, maintenance, and control of forms, records and reports.
- Relevant academic credits may be applied toward experience qualifications for this position.
- Knowledge of Office 365 applications.
- Knowledge of Public Information Act or unemployment insurance disclosure and confidentiality laws.
- Skills in the use of standard office equipment and software.
- Ability to Implement administrative procedures, interpret rules, regulations, policies and procedures, communicate effectively, and provide guidance to others.
