What are the responsibilities and job description for the Administrative Secretary position at State of Utah?
You will serve as the primary point of contact for advanced administrative tasks, exercising independent judgment and professionalism in an office setting. This role requires individuals to gain a strong understanding of department programs, policies, and procedures; to effectively support operations; to coordinate with internal teams, state agencies, and external stakeholders; and to facilitate communication and collaboration among divisions and support personnel.
Principal Duties
Performing general administrative duties such as incoming correspondence, greeting visitors, filing, scanning, maintaining work areas, routing action items, preparing reports, and follow up on pending matters. Scheduling and coordinating meetings, workshops, and training sessions. Preparing agendas, recording minutes, and distributing notes to participants. Arranging and managing travel logistics (flights, hotels, transportation), maintaining schedules, processing correspondence, and preparing expense reimbursements [e.g., Concur]. Performing purchasing, expenditure monitoring, and invoice processing. Ensuring all purchasing is made in compliance with state procurement rules and regulations. Maintaining and updating internships and recruiting contacts database for universities, technical schools, high schools, and Career and Technical Education (CTE) contacts. Organizing logistics for training events, including contracts, venues, catering, participant registration and materials preparation. Assisting with work task orders, budgeting requests and processing consultant invoices. Supporting project timelines and program development from planning to evaluation.
Have professional experience in an administrative support-related role. Have experience in programs such as Google Suite, Microsoft Suite, and Adobe. Be self-motivated, proactive, organized, detail-oriented, and willing to learn. Be attentive, responsive, and customer service oriented.
This is a part-time, benefited position, working in the office Monday to Friday for approximately 5 hours a day. Working Conditions: Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc. Physical Requirements: Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work. Employee may be reassigned to a different location as deemed necessary by the Region Director/Group Leader
