SUPPORT SPECIALIST
The Utah Office for Victims of Crime (UOVC) is seeking a highly motivated individual for the Victim Assistance Program (VAP) Support Specialist position. The VAP Support Specialist plays a vital role in ensuring the efficient and effective operation of the VAP within the Utah Office for Victims of Crime. The role encompasses a wide range of tasks, including meeting coordination, document management, financial tracking, and support for various VAP teams. Working for UOVC is an opportunity to make a meaningful difference as services are provided to victims of crime. This is a full-time, benefitted position working in-office.
Principal Duties:
Provide broad administrative support to the UOVC Victim Assistance Program (VAP), including scheduling, correspondence, and report preparation.
Coordinate and support VAP meetings and grant-related discussions, including preparing agendas, taking minutes, and tracking action items.
Maintain and update content for the VAP section of the UOVC website and other online platforms such as YouTube and social media.
Oversee and coordinate the activities of VAP volunteers and interns.
Assist with organizing and supporting grant-related training including registration, attendance, logistics, and follow-up.
Provide administrative assistance for the VAWA Implementation Plan, including meeting coordination and document management.
Support the grant application and review process, including data entry, document formatting, and coordination with reviewers and stakeholders.
Assist with financial responsibilities such as payment review and entry into state and grant management systems.
Support subrecipient monitoring activities by organizing documentation, scheduling site visits, and following up on findings.
Maintain and update internal directories, resource lists, and key administrative tracking tools to support the program’s operations.
Assist with logistical planning for group events by completing event forms, arranging venue and equipment setup, and facilitating contracts with vendors or service providers.
Assist with the Grant Management System by managing user access, supporting reporting and testing, resetting passwords, and archiving data.
Ideal Candidate:
Required:
At least 2–4 years of administrative support experience in an office environment.
Experience with Microsoft Office, Google G-Suite, Adobe, Zoom, and other office software.
Experience handling data entry, document organization, scheduling, and professional correspondence.
Experience in customer service, team coordination, or supporting executive-level staff.
Preferred:
Experience in government, nonprofit, or victim services settings.
Experience working with grants, financial tracking, or compliance reporting.
Knowledge of FINET, Grants Management Systems (GMS), and federal grant regulations.
Associate’s or Bachelor’s degree in Public Administration, Criminal Justice, Social Work, Business Administration, or a related field. Relevant coursework or certifications in grant management, financial administration, or office administration are a plus.
Experience coordinating training sessions, conferences, or large-scale meetings.
