The Opportunity:

The Washington State Criminal Justice Training Commission (WSCJTC) is committed to enhancing peace officer and corrections officer accountability as well as public trust and confidence in the criminal justice system. The Certification Division plays a vital role in reviewing misconduct to ensure violations of the statutory rules are applied in a fair and consistent manner in cases involving misconduct and forwarding cases to the Attorney General's Office for review and possible decertification.

In order to assist with these efforts, WSCJTC is recruiting an administrative supervisor to join the Certification Bureau as an Administrative Assistant 4. This position is a supervisory role providing administrative support for our two (2) Certification Bureau Division Managers. Duties

Duties assigned to this position include (but are not limited to):

  • Communicate with Division Managers to determine the needs of their program, then delegate work to the administrative staff to ensure timely and consistent completion.
  • Make recommendations for process improvements and streamlining duties
  • Ensure administrative staff are properly trained regarding WSCTJC and certification policies, state law governing certification standards necessary to perform their job duties, and skills and competencies necessary to perform their job duties.
  • Evaluate performance, have crucial conversations, and as needed, update position descriptions and make staffing decisions.
  • Schedule calendar appointments, meetings, track projects, and draft/edit correspondence on behalf of the Division Managers.
  • Gather and track expenses to assist with the annual budget.
  • Notify stakeholders, officers, and complainants of administrative closures.
  • Provide administrative support to Certification Bureau staff as requested. This includes vacation coverage for other administrative staff.

Qualifications

Required Qualifications/Experience:

  • Four (4) years of administrative experience, including responsibilities such as composing business communications, coordinating office operations, establishing office procedures, making business travel arrangements, managing records, preparing reports, processing financial information, managing supervisors’ calendars/schedules, or tracking legislation.
  • One (1) year of this experience must be in a government office environment.
  • Two (2) years of formal education will substitute year-for-year for experience with emphasis on criminal justice, paralegal studies, communication, or political science.
  • Two (2) years of supervisory experience.
  • An understanding/knowledge of current law enforcement and social justice climate.
  • Attention to detail with strong writing and speaking skills. This includes demonstrated knowledge of proper English grammar, punctuation, correspondence, formatting, and proofreading as directed.
  • Self-directed, willing to take initiative, and demonstrate sound judgement.
  • Outstanding customer-oriented interpersonal skills.
  • Ability to multi-task, prioritize work for self and others, handle short deadlines, and work independently in a complex, fast-paced, and stressful environment.
  • Ability to effectively use a personal computer and applicable software (Microsoft Office Suite, which includes Outlook, Word, Excel, PowerPoint, Publisher, and Adobe) to successfully perform the position’s essential functions.
  • Must exhibit the ability to be professional, personable, and dedicated to following the WSCTJC’s vision, mission, and values.
  • Utilize work time, equipment, and resources efficiently to maximize productivity and minimize waste.


Preferred/Desired Qualifications:

  • Bachelor’s Degree with emphasis on criminal justice, , business administration, communication, paralegal studies or political science.
  • Knowledge of current underserved communities and local cultures.
  • Knowledge of state travel procedures.
  • Previous administrative experience within state or local government agencies.
  • Ability to work successfully with a wide variety of people in a team environment.
  • Maintain highest standard of personal, professional, and ethical conduct and support the state’s goals for workforce diversity.
  • Ability to lift up to 20lbs on occasion to include use of hand truck and other potential supply carts with ability to bend, crouch, and reach.
  • Maintain a current driver’s license and insurance to operate state vehicles. Ability to travel as necessary.
