As an Administrative Assistant 2 in the Office of Nutrition Services (ONS), you will play a pivotal role in supporting our Program Monitoring Unit. Your work will directly contribute to ensuring access to high-quality nutrition and lactation care services. By providing critical administrative support, coordinating efficient processes, and embedding equity in program operations, your efforts will help enhance community health across Washington.
Key Responsibilities Include:

Providing administrative support to the Program Monitoring Unit:
- Independently prioritize and manage ongoing projects to streamline program monitoring activities.
- Schedule meetings, arrange travel, and ensure compliance with ADA accommodations.
- Maintain and update internal SharePoint and external web pages.
- Assist with onboarding new staff and developing training resources for program evaluation.

Managing self-evaluation processes and procedures:
- Track and process documentation in alignment with policies.
- Communicate with contractors and local agencies about evaluation protocols.
- Collaborate on refining and maintaining workflows to improve efficiency and compliance.

Contributing to ONS-wide administrative support:
- Coordinate travel arrangements and process procurement requests.
- Provide backup support to administrative staff and office management.
- Actively participate in meetings and workgroups to enhance operational workflows and equity initiatives.

Location and Flexibility
Join our team in a flexible hybrid role, requiring just one in-office workday per month at our campus in Tumwater, WA. To support seamless collaboration, the incumbent must reside within a commutable distance. This position offers the perfect balance of remote work flexibility and occasional on-site engagement.
Required Qualifications

Three (3) years of experience in the following:
- Working in a fast-paced office setting that required the ability to work independently and meet deadlines under pressure.
- Simultaneously answering multi-line telephone while accurately performing computer inquiry and updates.
- Establishing, organizing, and managing office systems (i.e. filing systems, tracking systems).
- Demonstrate competency composing and editing letters, memos, meeting notes and/or other written information.
Preferred Experience
- Refining workflows to enhance efficiency, accuracy, or compliance in administrative or programmatic settings.
- Independently managing complex projects with competing deadlines in a fast-paced environment.
- Utilizing State of Washington travel procedures to advise and assist staff.
- Organizing and booking travel for staff.
- MS Excel to build templates and track monitoring, auditing, or other evaluation processes and procedures.
- MS SharePoint to track information, create views, set, and edit permissions, and upload documents.
- MS Word to save and edit web pages and work with hyperlinks. Create forms using templates, work with form fields, and format and enhance forms. Mail merge, create form letters, modify merged documents and envelopes. Set default options, customize toolbars and menus, create cross references, and work with endnotes and footnotes. Create tables of contents, compile, and update indexes.
