The Department of Corrections is seeking a highly motivated and qualified Patient Services Supervisor for the Monroe Correctional Complex located in Monroe, WA.

Under the supervision of the Health Services Manager 2 (HSM2), the Patient Services Supervisor will perform a key role in providing access to health services care for the incarcerated population in the most effective way to achieve the desired clinical outcomes, efficient methods to appropriately utilize resources and economical/cost effective measures possible as well as applying cost containment measures and best practices in all circumstances at Monroe Correctional Complex (MCC). Under general direction, this position will be responsible to supervise (8) Patient Services Representatives (PSR) (and/or other assigned staff) which are providing healthcare related support services to incarcerated patients. This position will direct and coordinate patient care services such as appointments, diagnostic procedures, scheduling surgery, and consultation requests for both on-site healthcare practitioners and off-site medical specialists to include but not limited to mental health, dental care, nursing, imaging, lab, social work, and administrative staff. 

This position will apply independent judgement.to accomplish assignments and solve problems and to develop new work methods, procedures, or strategies or modify existing work methods, procedures and strategies to solve new or unusual problems to achieve department goals. Work is subject to review at the completion stage to determine effectiveness in producing expected results.

Supervision of Patient Services Representatives and/or other health service support staff as needed. 
  • Provide mentoring, guidance, support, and address staff questions/concerns.
  • Develop support staff short-term and long-term team goals and objectives consistent with policy requirements, headquarters directives, and facility clinic operational needs. 
  • Ensure expectations are clearly communicated, understood, and achievable. 
  • Direct, monitor, and track staff activities to include workload, performance standards, and deadlines. 
  • Ensure all supervisory level personnel actions are in accordance with CBA and applicable HR regulations. 
  • Ensure assigned staff compliance with all department training requirements and identify staff training deficits and potential training solutions. 
  • Conduct and assist with training of health services support staff. Ensure assigned staff are fully cross trained to cover all elements of health services scheduling support. 
  • Manage support services absences and relief needs to ensure full and consistent service coverage and act on leave requests as received. 
  • Conduct annual performance evaluations and if necessary, make corrective action decisions in accordance with DOC policy and current CBA. 
  • Conduct selection of new support staff to include, coordination with HR, interviewing, and providing hiring recommendations to management. 
  • Provide back-up coverage for PSRs.
Healthcare Related Support Services Operations.
  • Oversight of clinic/hospital scheduling: medical, dental, and mental health (on-site and off-site scheduling) and other services, to include MCC Transportation team, coordination of resources and clinic schedules, maintain schedules in on-line appointment system.
  • Data management for entry and maintenance of databases, to develop and decipher reports, provide data and analysis/applications as needed or requested
  • Manage support resources to ensure uniform delivery of services and coverage on a daily basis to include acting as backup for support staff as necessary to fulfill operational needs.
  • Ensure clinic statutory and policy requirements to maintain a working knowledge of DOC statutory health service requirements including Offender Health Plan (OHP), Health Information Management Protocols (HIMP), DOC Policy, and other applicable regulatory agency requirements.
  • Assist with agency health services operation inspection audits.
  • Assist health services management and stakeholders in various tasks.
  • Provide accurate & reliable information pertaining to health services scheduling, groups or communities (including colleagues and correctional personnel). This includes completing OMNI HS audits: Cancer Tracker, GA Tracker, NIO lists, unresolved off-site appointments lists, and OMNI on-site appointments listings.
  • Maintain confidential and important documentation in standard filing practices.
  • Assist clinic staff with technology assistance.
  • Reception and general customer service of MCC Health Services.
  • Complete QRR's as assigned.
  • Investigate and resolve NIO list by due dates.
  • Ensure all PSR's gain/maintain access to all off-stie EMR systems as needed.
  • Work closely with Transport team to assist in managing and monitoring off-site trips.
  • Place medical holds on patients accordingly.
  • Complete chronos and close consults.
Supervise the PSR Team at MCC.
  • Conduct monthly face to face documented Supervisory conferences with each PSR.
  • Conduct annual performance evaluations for each staff member you supervise.
  • Conduct weekly staff meetings with supervisees and maintain meeting minutes.
Other duties as assigned.
  • Attend required staff meetings
  • Establish good working relationships with staff, patients, and community stakeholders.
  • Attend all trainings as required.
  • Manage emails and ensure timely response.
  • Complete all documentation according to policy requirements.
  • Remain up to date concerning workflow expectations and processes at MCC and within DOC.
Required Qualifications:
  • Three years of experience of increasingly responsible office experience in healthcare setting.
  • Must have at least three years of experience as a supervisor.
  • Proficiency in computer skills to include MS Word, Excel and PowerPoint.
  • Proficiency with medical terminology.
  • Possess advance typing and computer software application skills.
Preferred Qualifications:
  • A bachelor's degree in a medically related or public relations field AND one year experience in a healthcare setting which includes lead responsibility. OR equivalent education/experience.
  • Correctional experience.
  • Ability to multitask and provide appropriate attention to the needs of various entities.
