The Opportunity:
As a Secretary Senior, you will provide a wide variety of complex secretarial duties for a unit of child care licensing staff, including the licensing supervisor. This includes independently planning, organizing, and prioritizing workloads, providing secretarial services and support to supervisors and staff, and maintaining filing systems, databases, tracking logs, and computer programs. You will also answer the main telephone, act as a receptionist, and exercise independent judgment in accomplishing assignments and resolving problems. Additionally, you may develop new work methods or modify current methods to include procedures, strategies or unusual problems.
Some of what you'll do:
- Schedule meetings, prioritize assigned correspondence, and type reports for licensors.
- Process all incoming applications for all Child Care Centers, School Age Programs, and Family Child Care Homes.
- Initiate and complete all cyclical work for Child Care Centers, School Age Programs, and Family Child Care Homes.
- Receive, record, process, and transmit licensing fees to State Office of Financial Management (OFM) for Family Child Care Homes, Child Care Centers, and School Age Programs.
- Complete Provider File Action Requests for submission to the Provider File Unit to request SSPS numbers, changes, or updates.
- Create and maintain licensing information for all licensed Family Child Care Homes, Child Care Centers, and School Age Programs in FamLink/WA Compass.
- Facilitate the archiving of licensing files as needed for the DCYF office.
- Clarify the licensing application process with child care centers and/or school-age directors, family home providers, community partners, and the general public.
Required Qualification(s):
- Two (2) years of office experience performing duties that required keyboarding, or typing, at a net speed of 50 words per minute or faster.
In addition to those required qualifications, our ideal applicant will also have some or all of the following:
- Effectively interact with a diverse customer base
- Efficiently transfer calls, operate phone systems, and ensure phone coverage which may require coordination with the licensor of the day.
- Refer or direct customers to correct internal and external destinations.
- Maintain confidentiality inside and outside of the workplace.
- Apply appropriate WAC, RCW, and administrative policies to programs served.
- Communicate with internal and external community resources.
- Operate basic computer keyboarding, Desktop, Internet and Intranet applications, and data entry.
- Efficiently distribute and sort documents within standard time frames.
- Locate records rapidly.
