Position Summary

The Human Resources / Payroll Assistant is responsible for conducting various administrative and clerical duties necessary for the efficient operation of this office. The position requires a demonstrated ability to work with a wide range of college personnel, providing oversight to ensure compliance with applicable federal, state, and local laws and requirements, as well as in compliance with the ACCS Board of Trustees and JF Ingram State Technical College policies and procedures. The Human Resources / Payroll Assistant reports directly to the Human Resources Coordinator. Listed below are the primary responsibilities for this position; however, other professional duties may be assigned by the Human Resources Coordinator / Business Office Director or his / her designee to meet the College's needs.

Essential Duties and Responsibilities

  • Provides administrative support for Human Resources and Business Office Payroll.
  • Organizes, compiles and updates College personnel records and documentation.
  • Prepares, manages, and stores records.
  • Answers employees' questions and provides the requested information.
  • Assist in preparing and posting job announcements in compliance with prescribed policies, procedures, guidelines, directives, etc. Assist in College search processes and maintains related documentation as prescribed.
  • Tracks applicants' process through NeoEd and responds to applicants' inquiries.
  • Creates and gathers information for reporting purposes.
  • Assist in organizing and managing new employee orientation, onboarding, and training processes and programs.
  • Assist with college-wide events related to Human Resources.
  • Assist in posting leave forms and reporting leave accruals and balances.
  • Assist with the issuing, printing, and distribution of purchase orders.
  • Assist with purchasing materials for the college.
  • Assist with maintaining and tagging fixed asset inventory.
  • Must be eligible to enter any / all Department of Corrections (DOC), Federal Correctional Institutions (FCI), and Pardons & Paroles Facilities to perform the job duties and maintain this status for continued employment.
  • Serves on College committees as needed.
  • Possesses an understanding of and commitment to the philosophy and mission of a community and technical college.
  • Possesses a sensitivity and commitment to cultural diversity.
  • Complies with any applicable guidelines and policies set forth by the Alabama Community College System (ACCS) Board of Trustees, the Alabama Community College System, and J.F. Ingram State Technical College.

KNOWLEDGE, SKILL, AND ABILITIES :

  • Excellent interpersonal, problem-solving, decision-making, and teambuilding skills which lead to logical decisions.
  • Experience with the day-to-day operation of a busy, multi-service office, including experience with Microsoft Office Suite (i.e., Word, Excel, PowerPoint, and Access).
  • Ability to perform tasks requiring good judgment and confidentiality is required.
  • Ability to establish and maintain effective working relationships with others internal and external to the college.
  • Qualifications

    A high school diploma or GED; Two (2) years of experience in office or related secretarial work required.

    An Associate's degree in a business-related field is preferred .

    Salary Range : Salary will be determined by placement on the appropriate Alabama Community College System-approved salary schedule. Salary Schedule E3 04 ($39,759 - $57,251)

    The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control.     This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.
