The SUNY College of Optometry is seeking an Administrative Assistant for the Department of Clinical Education. The Department of Clinical Education oversees the pre-clinical didactic courses and clinical training of students enrolled in the four-year Doctor of Optometry, clinical degree program. The Administrative Assistant will assist in the management and expansion of the current 4th year externship program, while also contributing to the development and maintenance of new externship sites to support the developing update extension program.

Key Roles And Responsibilities
- Oversee student clinical profiles that are designed for easy access to student information including rotations, evaluations, patient logs, supervisor feedback, and supervisor notes.
- Implement and manage external student evaluation process required for student grading.
- Manage affiliation agreement contracts between externship program and externship sites, conduct audits to identify responsibility, liability, procedures, and compliance standards. Aid the timely renewal of Adjunct Faculty who support the externship program
- Provide detailed site profiles, including site requirements, to help students find rotations that best suit their professional interests, learning styles, personal needs, and individual criteria.
- Administer and process student externship site evaluations and surveys to assess site compliance and clinical experiences.
- Work with the Externship Assignment Team to coordinate the assignment and scheduling process for student rotations.
- Provide administrative support to the Director of Clinical Externships to develop, implement, assess, and refine the clinical externship component of the curriculum
- Provide electronic and web-based forms for use by 3rd and 4th year students and site supervisors.
- Associate’s degree and or relevant experience
- Minimum of 1 year of experience working with clients, students, or similar group
- Proficiency in using relevant software and tools for project management and data analyst
- Strong project management and organization skills
- Ability to multitask effectively
- Excellent communication and teamwork skills
- Dependable and reliable
- Bachelor’s degree or higher
- Experience in a clinical academic facility
- Familiarity with interprofessional healthcare outreach
- Experience with event planning and coordination
