Major Responsibilities
- Support Alumni Association business processes
- Manage accounts payable and receivable processes
- Maintain organized and accurate records of all accounts payable and receivable transactions for auditing purposes
- Input and track revenues and expenses within Blackbaud Financial Edge software
- Assist the Executive Director of the Alumni Association with forecasting, budget to actual analysis, and other Ad hoc reporting requests
- Communicate financial controls through established standard operating procedures and PCI (Payment Card Industry) processes with Alumni Association staff
- Assist the Associate Director of Campus Event Management with tracking Parks Alumni House financials, which includes processing payments, tracking and projecting expenses, and working with vendors to ensure accurate and timely payments
- Reconcile Alumni Association general ledger accounts monthly to ensure accuracy under the direction of Advancement Financial Services staff
- Assist with revenue review and expense reporting and projections to campus partners
- Assist the Advancement Financial Services staff in training Institutional Advancement (IA) staff on proper accounting standards, new software, best practices, and SOPs (standard operating procedures)
- Utilize Excel daily to track, report on, and reconcile financial transactions for the Alumni Association, Cortland College Foundation and campus constituents as applicable
- Assist with annual audit and tax preparation for both the Cortland College Foundation and the Alumni Association, including data retrieval and report preparation
- Gather tax information for annual 1099 preparation
- Assist with fund maintenance for the Cortland College Foundation in conjunction with Advancement Financial Services team
Functional and Supervisory Relationships
- Reports to the Director of Advancement Financial Services
- Works closely with the Assistant Director of Advancement Financial Services and Executive Director of Alumni Engagement
Required Qualifications
- Associate’s degree in accounting or business with at least two years of work experience in accounting, finance, or business; or in lieu of education, at least four years of work experience in accounting, finance, or business
- Experience with reviewing financial statements
Preferred Qualifications
- Bachelor’s degree in accounting, business, or related field
- Experience with current accounting and reporting requirements for non-profit organizations
- Experience with financial services, alumni engagement or database services for a higher education institution
- Experience with Blackbaud Software
- Experience with fund management, such as grants, scholarships, or departmental accounts
