Role Description
This position will support the Human Resource operations by maintaining records and preparing documents. This assistant will provide information to employees on matters pertaining to personnel forms and records and will support a variety of Human Resource functions such as recruiting, staffing, benefits, new hires, employee relations, and compliance issues. This position will also maintain the company benefits for all US and Europe employees. This position deals with highly confidential information and time critical deadlines.
Key Job Accountabilities (Actual daily deliverables):
Compensation & Benefits:
- Administer Health and Welfare Benefit Plan (Medical, Dental, Vision, EAP, Life/AD&D/STD/LTD, FSA, HSA, Wellness Reimbursement) to all US employees
- Assist employees with answering questions and resolving issues
- Perform online eligibility changes – new hires, terminations, dependent status changes, etc.
- Assist employees with 401k enrollment, loan processing, rollovers, and withdrawals
- Process monthly premiums for all benefit bills and ensure the premiums are correct by tracking changes
- Coordinate routine 401k meetings with providers
- Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and other celebrations
Personnel
- Coordinate new hire/termination processes
- Coordinates exit interviews and other termination processes
- Create and maintain personnel files
- Assists with onboarding process of 1-9’s, background checks and E-verify
- Maintains I-9 files and conduct monthly audits
- Coordinates pre-hire materials (business cards, nameplate, office set-ups, etc.)
- Coordinate company events
- Process ECN (Employee Change Notices) and maintain files
- Maintain leave balances accuracy, audit leave balance and provide semimonthly reports for Payroll
Training
- Coordinate trainings and maintain training records
- Coordinate semiannual performance reviews and provide assistance to employees who need helps with the system
- Provide one on one assistance for employees on KPI system setting, routine performance review and other HRIS system processes
Office Services / Administration
- Provides backup support for travel administrative support for all US employees
- Provide one on one assistance for employees on KPI system setting, routine performance review and other HRIS system processes
- Assistance for all HR project implementations and audits
Qualifications
- HR Management and Human Resources (HR) skills
- Strong communication and project coordination skills
- Attention to detail and organizational skills
- Ability to maintain confidentiality and handle sensitive information
- Bachelor's degree in Human Resources, Business Administration, or related field
- Proficiency in SAP SuccessFactors, ADP Workforce and Microsoft Office applications
- 1 to 3 years of experience in an HR capacity in an onsite office environment
Salary : $65,000 - $80,000
