Key Responsibilities:
- Serve as the first point of contact for families, providing courteous and helpful assistance. Manage incoming calls and the school's email inbox with professionalism and warmth.
- Maintain strict confidentiality regarding student, family, and school information.
- Perform general office duties, including filing, copying, answering phones, data entry, typing, utilizing school software programs, and records management, as assigned.
- Support the administrative team by taking on general tasks to create space for top-level work, helping to protect administrators' time and enhance overall efficiency. Manage scheduling for executive administrators and coordinate school events, processes, and procedures.
- Ensure compliance with school protocols, and licensing requirements for VDOE, AMI, and general building regulations. Maintain required documentation, including emergency drills, monthly safety checks, student records, and medication administration.
- Promptly and confidently report concerns from staff, students, parents, or classrooms to the administrators. Operate within the employee policies and guidelines established by the Board of Trustees.
- Assist with staffing needs during teacher absences as needed.
Qualifications:
- Highly organized with strong attention to detail, and ability to prioritize tasks. Adaptable problem solver who takes pride in their work.
- Strong proficiency with technology, including Google Suite, Excel, and Email software such as Mailchimp, Wordpress, and online scheduling tools, WordPress, Zoom, and Facebook. Willingness and ability to learn new technology platforms and processes.
- Excellent people skills and ability to manage multiple tasks independently.
- Professional, polite, and approachable demeanor with strong written and verbal communication skills.
- Able to sit at a desk for long periods and also walk moderate distances. The ability to lift, carry, or move objects weighing 50 lbs or less is a plus.
- Enjoys and interacts well with adults and children of all ages.
- Familiarity with Montessori philosophy and practices, or willingness to acquire this knowledge.
- Up-to-date with CPR/1st Aid and MAT certification, or willing to complete certification after hire.
- Experience in a school setting, ideally in an administrative/secretarial role is preferred.
Work Schedule:This role is full-time, year-round, with approximately six weeks off tied to the academic calendar.
Compensation:
The salary range for this position is [$30,000 – $35,000] annually, commensurate with experience and qualifications. SMS is committed to providing professional development opportunities to invest in our people. We also offer tuition discounts to our staff with children in our program.
