The Senior Executive Support Specialist plays a crucial role in enhancing the productivity and leadership capabilities of our Executive Director. We are seeking a resourceful, proactive, and highly organized individual who can efficiently manage a wide range of responsibilities, both tactical and strategic.

KEY RESPONSIBILITIES :

  • Manage and coordinate the Executive Director's complex and dynamic calendar, including setting up meetings, appointments, and travel plans.
  • Act as the primary liaison between the Executive Director and both internal and external stakeholders, ensuring professionalism and diplomacy in all communications.
  • Prepare materials for meetings, including agendas and presentations, to ensure the Executive Director is fully prepared for all engagements.
  • Coordinate complete travel itineraries, encompassing flights, accommodations, transportation, and any additional requirements.
  • Organize and manage confidential files and records, ensuring they are easy to retrieve and maintain.
  • Monitor and prepare accurate reports on the Executive Director's expenses.
  • Screen and prioritize incoming calls, visitors, and requests, managing inquiries independently or directing them to the right parties.
  • Assist with special projects, research, and strategic initiatives as assigned by the Executive Director, collaborating effectively with team members to facilitate seamless communication.
  • Proactively address administrative challenges to boost the Executive Director’s productivity.
  • Handle sensitive information with discretion and maintain high confidentiality standards.

MINIMUM QUALIFICATIONS :

  • Exceptional organizational skills with a keen attention to detail, minimizing errors.
  • Exhibits leadership qualities, trustworthiness, and the highest ethical standards while maintaining discretion and confidentiality.
  • Adept at multitasking and transitioning between tasks and projects, effectively prioritizing work while anticipating and embracing changes.
  • Outstanding written and verbal communication skills, with impeccable grammar and email etiquette.
  • Proven problem-solving abilities and strong interpersonal skills for effective collaboration and conflict resolution.
  • Strong project management and time management skills.
  • Proficient in various computer applications, including MS Office, Canva, Excel, Keynote, PowerPoint, social media platforms, and CRM tools.
  • Strong work ethic with a meticulous eye for detail.
  • Demonstrates sound judgment in problem-solving and decision-making.
  • At least 5 years of experience as an executive assistant, providing comprehensive support to a C-suite executive in an organization with a minimum of 50 employees.
