Job Title:                    Elemetary Secretary

 

Reports to:                 Principal

 

Purpose Statement:  The job of Elementary Secretary is done for the purpose/s of providing administrative and secretarial support to the assisted administrator; monitoring assigned activities; and providing information, recommendations and/or direction as requested by assigned administrator.

 

Essential Functions: 

  • Answers phone for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages.
  • Collects payments and prepares deposits for the purpose of completing transactions and/or securing funds.
  • Compiles data from a variety of sources for the purpose of complying with financial, state and federal requirements, and administrative requirements.
  • Coordinates a variety of projects, functions and/or program components (e.g. meetings, building usage requests, etc.) for the purpose of delivering services in a timely fashion.
  • Maintains manual and electronic document files and records for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
  • Monitors referrals for the purpose of ensuring safety and welfare to ensure a safe environment.
  • Participates in a variety of meetings, workshops, and/or training (e.g. computer training, First Aide training, CPR training, etc.) for the purpose of providing or receiving information, recording minutes, and supporting the needs of the attendees.
  • Presents information on administrative procedures (e.g. department/program policies, submission procedures, etc.) for the purpose of orienting new personnel and/or disseminating information to existing personnel.
  • Processing documents and materials (e.g. time sheets, work orders, requisitions, etc.) for the purpose of disseminating information in compliance with administrative guidelines and/or regulatory requirements.
  • Procures supplies and materials for the purpose of maintaining availability of required items.
  • Responds to a variety of inquiries from a variety of internal and external parties (e.g. staff, parents, public agencies, etc.) for the purpose of providing information or direction and/or facilitating communication among parties.
  • Supports assigned administrative personnel for the purpose of aiding with their functions and responsibilities.

 

Other Functions

  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Education

High school diploma or equivalent and job-related experience

Working Environment

Some lifting (up to 15 pounds at times), carrying, pushing, and/or pulling, stooping, kneeling, crouching, and significant fine finger dexterity. Generally, this job requires prolonged periods of sitting at a desk - 70%, 10% walking, and 20% standing. This job is performed in a generally clean and healthy environment.
