Office Coordinator/Customer Service Assistant
We are seeking a highly organized and professional Office Coordinator/Customer Service Assistant to join our team. This key role ensures smooth office operations by managing the front desk, handling incoming calls, and providing comprehensive administrative support. The ideal candidate is detail-oriented, an excellent communicator, and skilled at multitasking in a dynamic office environment.
Key ResponsibilitiesFront Desk Management
- Serve as the first point of contact for visitors and clients, delivering a warm and professional welcome.
- Answer and direct incoming phone calls to the appropriate departments or personnel.
- Maintain an organized and tidy reception area, ensuring a positive impression for guests.
Administrative Support
- Perform general administrative tasks such as filing, data entry, and maintaining office supplies.
- Assist with scheduling appointments, meetings, and conference calls.
- Prepare and distribute correspondence, memos, reports, and other documents.
- Take on projects like locating missing documents, sorting and scanning invoices, and organizing office files.
Order Management
- Process and manage all incoming customer orders, ensuring accuracy and timely entry into the system.
- Create and prepare job travelers for release to the shop floor, outlining production requirements.
- Monitor and update order status, providing customers with accurate and timely updates on progress.
- Respond to customer inquiries regarding order details, status, and any issues that may arise.
- Generate and send order confirmations to customers, ensuring all details are verified and communicated clearly.
- Collaborate with internal teams to address and resolve order-related concerns or discrepancies.
- Combine POs, packing lists, and related documents, filing them for easy matching with incoming invoices.
Office Operations
- Maintain a clean and organized office environment, including common areas such as conference rooms, break rooms, and workstations.
- Manage office supplies and equipment, ensuring stock levels meet day-to-day needs.
General Office Support
- Assist in office organization projects, including cleaning out the conference room, sorting old documents, and maintaining storage areas.
- Take on ad hoc tasks requiring attention to detail, such as scanning and archiving records or assisting with special projects.
Qualifications
- Proven experience in an administrative or receptionist role.
- Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities.
- Excellent verbal and written communication skills.
- Proficiency in office software, including word processing, spreadsheets, and email.
- Ability to work independently and collaboratively with a proactive and adaptable approach.
