Job Summary :
The Finance and Administration Specialist provides financial and administrative support to the organization. They will also be responsible for executing payroll processing, utilizing the Microsoft Suite of products, providing HR and payroll support, delivering assistance with the invoicing process, providing customer service support, and helping the department with problem solving. A strong background in accounting and payroll processing, and excellent communication and organizational skills, will be foundational to their success.
Job Responsibilities :
- Execute payroll processing in Paylocity, including onboarding new employees and counselors, assisting current employees and counselors with payroll changes, reconciling benefit changes with payroll deductions, and staying up to date with IRS, state, and local payroll and taxation changes.
- Utilize the Microsoft Suite of products, QuickBooks, and other software as needed to provide accounts receivable and accounts payable support.
- Provide HR and payroll support, including assistance with HIPAA, Workers Compensation, Unemployment Insurance, and other HR compliance aspects.
- Assist the CFO with invoicing customers by supplying appropriate information at least monthly.
- Oversee and guarantee adherence to insurance licensing regulations for relevant staff members by assisting in securing both resident and non-resident licenses, assisting with inquiries on continuing education, and routinely verifying the renewal of such licenses.
- Support Enrollment Specialist, Counselor Coordination with counselor licensing, appointment, and certification for the enrollment team.
- Assist the Customer Experience team with problem solving as requested.
- Manage office supply operations, operate the front desk area at least 2 days a week, and facilitate a great working environment.
- Assist with sales and marketing by scheduling meetings with prospective customers and attending meetings as requested.
- Assist with event planning for various conventions and conferences and serve as a representative of the company at these events.
