Job Summary:
We are seeking a dedicated and detail-oriented Project Coordinator to join our dynamic team. The ideal candidate will possess excellent organizational skills and a passion for delivering outstanding results. As a Project Coordinator, you will play a crucial role in supporting project management activities, ensuring projects are completed on time, within scope, and in alignment with company objectives.
Essential Duties & Responsibilities:
- Assist project managers in developing comprehensive project plans, timelines, and schedules. - Coordinate project activities and resources, ensuring all team members are aligned with project goals.
- Serve as a central point of communication among team members, stakeholders, and clients. - Facilitate meetings, prepare agendas, and document meeting notes for project discussions. through the Procore project management system.
- Maintain accurate project documentation, including timelines, budgets, and changes in scope. - Prepare regular status reports for project managers and stakeholders, highlighting progress and potential issues.
- Support budget tracking and resource allocation, ensuring efficient use of project resources. - Work with finance teams to ensure accurate billing and invoicing.
- Obtain answers to RFIs, document and process bid addenda, and review bids with the Project and Client Teams.
- Assist in the management of the project post-award, including change orders and contract scope changes.
- Maintain comprehensive project documentation, including communication logs, action items, and project plans. Collect and archive contract documentation, verify timesheets, and assist with project scheduling and submittals.
- Ensure the mathematical accuracy of payment applications and collect necessary waivers and documentation for payments.
- Foster a positive team environment, encouraging collaboration and teamwork among diverse team members. Work with various teams including Equipment Vendors, Materials Suppliers, Customers, Engineering Groups, and Accounting.
- Assist with safety-related tasks and maintain company asset information.
- May be required to assist with project kickoff and closeout meetings.
- Expected to contribute positively to company culture.
Education & Skill Requirements:
- Proven experience in project coordination or a similar role.
- Proficiency in Procore and Excel or equivalent project management software is a plus.
- Strong organizational skills with a keen attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work collaboratively and manage competing priorities in a fast-paced environment
Preferred:
- Bachelor’s degree in Business Administration, Project Management, or a related field preferred. - Proven experience as a Project Coordinator or in a similar role in project management. - Strong problem-solving and analytical skills. - Certification in Project Management (e.g., PMP, CAPM) is a plus.
